Reporting to the Operations Manager/Site Manager, the Project Coordinator is responsible for providing assistance to more senior staff (Project Managers, Superintendents) in the coordination, scheduling, quantity surveying, reporting, and quality control functions of a project. This is a task-based role that requires working knowledge of core elements of construction projects. As the incumbent progresses from a Project Coordinator 2 to 1, familiarity with the core elements of a construction project (field management, estimating, project management) increases, as does proficiency with project management systems, processes, and tools.Essential FunctionsExecution

  • Perform a variety of duties including but not limited to administrative duties, update schedules and budgets, maintain cost control, and monitor labour material and equipment activities on the project.
  • Work with Site Managers / Project Managers/on-site Superintendent to update project schedule and budget to identify potential construction issues.
  • Assist with the review and coordination of project-specific safety plan.
  • Attend all project team meetings, and document team meetings, action items, and other pertinent project deliverables/decisions.
  • Attend all regular meetings, record meeting minutes, and present updates.
  • Ensure that project site and company assets are secure, and maintain a safe and respectful working environment at all times.
  • Monitor project change management process, identify change events, submit change notices, track changes and optional changes in project scope, and present to the Project Manager when required.
  • Provide timely progress reports to Project Manager.
  • Monitor and update schedules with the assistance of the team.
  • Assist with drawings, drawing records, revisions, site instructions and change orders.
  • Obtain and provide written documentation for all clarifications and instructions.
  • Conduct the Client Satisfaction Survey prior to project closeout.

Planning and Process

  • Enter data into the organizational and responsibility matrix at the start of the project.
  • Support Project Manager and Superintendent with creating templates and supporting documents on behalf of project team regarding roles and responsibilities.
  • Assist in gathering data required for input of regular status reports for company executives and project steering committees.
  • Assist Project Manager and Superintendent with the development of project plans.

Financial Accountabilities

  • Record change orders and update site drawings.
  • Assist Project Manager and Superintendent with the establishment of a cost reporting system for project components.
  • Monitor cost accruals and reviews on a regular basis.
  • Assist and monitor payroll functions to ensure the project team is using proper codes and cost allocation.

  • Build effective relationships with customers, design team, subcontractors, suppliers, and user groups that reflect and support Graham’s core values.
  • Communicate professionally with customers and their representatives as required, and recognize the importance of building and maintaining effective business relationships.

  • Maintain safety records.
  • Take responsibility for the development, implementation, and execution of the Project Specific Safety Plan (PSSP).
  • Take personal responsibility both for own health and safety, and that of other workers, visitors to the site(s), the community, and the environment.
  • Ensure HSE has equal status through all phases of the project prior to any construction approval and during execution.
  • Monitor and measure HSE goals and expectations using Key Performance Indicators (KPIs).
  • Know and comply with client requirements, Occupational Health and Safety regulations, and all applicable government laws and regulations.
  • Review, approve and close out all incidents to support Continuous Improvement (CI) processes and feedback for the HSE MS.
  • Maintain QA/QC records.
  • Ensure that Project Quality Risk Assessment (PQRA) is conducted for the project upon award of project contract.
  • Ensure implementation of the Project Specific Quality Plan (PSQP) on the project site by all project stakeholders.
  • Review the Field Surveillance Reports (FSR) and initiate NCRs based on analysis and severity of findings.
  • Ensure that quality KPI data for the project is documented.

Education, Experience and Knowledge

  • Trade Certification or Technical Diploma/Degree in Engineering or construction field experience is required.
  • Minimum 2-3 years of experience working in a related industry
  • Strong presentation skills.
  • Project Controls systems experience is an asset.
  • Proficient with MS Office Suite.
  • Proficient using scheduling and project management software.

Working Conditions

  • The majority of work is completed in a site office, or within a branch office.
  • Due to daily condition changes on construction projects, when employees are outside of the office trailer or structure, they must wear appropriate personal protective equipment as required by the company’s safety policies and as required for environmental conditions.
