Here’s what you’ll be doing….You’ll support the planning, development, implementation and monitoring of People initiatives and programs that enable UTP to create an exceptional employee experience to attract, retain and develop talented staff. In this role you’ll be our HRIS subject matter expert, lead several People programs and provide generalist support.Here’s who we’re looking for….
We are seeking a talented People (HR) Specialist to join our team. The ideal candidate will have a passion for People functions and possess expertise in various People systems and processes. The successful candidate is a team player who is collaborative, customer focussed, highly analytical, process and detailed oriented, and who will bring a strong understanding of HRIS to the role.Key Responsibilities include:

  • Implement & Manage HRIS:

o Lead the successful implementation of a new HRIS
o Develop and maintain HRIS system administration, data validation checks, documentation (configuration, training, administration guides, etc.)
o Set up files to ensure that all processes are appropriately documented and secure
o Conduct stakeholder meetings to solicit feedback, input, and expectations for possible future system improvements
o Coordinate and lead HRIS training; produce training documents
o Identify and recommend practical process improvements aimed at improving operational efficiency and effectiveness
o Coordinate system upgrades/enhancements, internal interfaces, testing, documentation, training, communication and optimization reviews
o Conduct regular data audits and provide training and documentation to ensure data accuracy
o Serve as a point of contact for all vendor matters (including contracts, invoicing, upgrades)
o Prepare employee communications that relate to changes in the system and processes enhancements
o Responsible for improvement of the overall user adoption of the HRIS system by developing content designed to improve user experience via training, tips, hands-on support and other methods

  • Reporting & Analysis:

o Maintain internal database files and tables, and develop custom reports as needed
o Interpret HRIS data including workforce planning reports. Analyze reports to identify trends to be used for various purposes including strategic and annual planning and budgeting
o Develop workforce analytics and dashboard reporting on: headcount activity, hiring, attrition trends, headcount forecasting, etc.
o Develop a plan for business continuity to deal with any HRIS outage
o Maintain expert knowledge of HRIS and related processes (be the HRIS super user)
o Update HRIS employee profiles accurately and timely with changes provided
o Manage HRIS lifecycle of all employees, including new hires, terminations, promotions, and changes
o Maintain statistics on headcount for reporting purposes
o Process salary increases and incentives in accordance with company policies

  • Compensation: responsible for the compensation process. Update the annual merit and bonus project plan, prepare annual salary increase and bonus letters, complete salary surveys.
  • Own the vacation and the termination processes (prepare term calculations and packages, make policy updates as needed).
  • Lead the development, coordination, administration, and implementation of learning programs to enhance employee knowledge and development.
  • Lead employee engagement survey and resulting initiatives.
  • Develop solutions and make recommendations based on an understanding of the business strategy and stakeholder needs.
  • Analyze data and information to provide People insights and recommendations. Gather and format data into regular and ad-hoc reports, and dashboards.
  • Compliance Report: support the completion of the annual board Compliance Report.
  • Budget: support the preparation of budgets and their revisions. Monitor the People budget and investigate and bring forward exceptions.
  • Provide back-up to HR Coordinator when they are away (eg post jobs, prepare letters of offer).
  • Generalist work: Collaborate and support a variety of initiatives to deliver our annual People plan. Respond to and escalate employee questions to resolve employee issues and concerns. Work on other projects as assigned.

Education, Qualifications, and Experience:

  • University degree and a Certified Human Resources Professional (CHRP) designation with HRPA.
  • Recent and relevant experience in Human Resources and working with an HRIS. Demonstrated ability to leverage HR information systems to support the business in a mid-size organization.
  • Proven experience in compensation and employee learning and development.
  • Experience in a unionized environment is an asset.

Knowledge, Skills, and Attributes:

  • Knowledge of HR processes including the employee lifecycle, compensation, and learning & development. Enjoys being in the detail of the project and technology.
  • Solid understanding of the Ontario Employment Standards Act and current payroll legislation.
  • Demonstrated experience in streamlining and improving processes.
  • Excellent customer service and interpersonal skills with ability to effectively communicate with all levels within the organization, understand user needs, and offer suggestions to address their requests and concerns.
  • Ability to diagnose and solve problems. Takes initiative. Looks for ways to streamline and improve People processes.
  • Results driven, self-starter.
  • Awareness of and sensitivity to issues of diversity, equity, and inclusion.
  • Good writing skills. Experience in creating policies, system and process documentation is a definite asset.
  • Takes personal ownership and accountability along with ability to adapt to change.
  • Intellectual curiosity is highly valued – a growth mindset. Excellent critical and analytic thinking skills.
  • Demonstrated ability to deal with sensitive issues with tact, diplomacy, professionalism and compassion.
  • Meticulous attention to detail.
  • Demonstrated knowledge of change management.
  • Excellent time management skills; excellent ability to prioritize and ensure that they are on track to follow through on deliverables in a timely manner without the need for manager follow-up.
  • High degree of proficiency with Microsoft Office (Outlook, Word, Teams, PowerPoint and particularly Excel). Demonstrated competence with databases/information systems and compiling and analyzing HR data is an asset.
