Together we are more than 5,000 dedicated faculty, librarians and staff supporting the University of Victoria’s diverse academic programs, world-class research and commitment to civic engagement.*This position is eligible for a Modified Work Schedule*Job SummaryReporting to the Assistant to the Chair and indirectly to the Administrative Officer, the Department Receptionist and Undergraduate Secretary is the first point of contact for the department, and provides general reception, administrative, and secretarial support to the Chair, the Assistant to the Chair, Administrative Officer, members of the Mechanical Engineering department, and students.Responsibilities include: supporting the operation of the Mechanical Engineering Undergraduate Program; providing assistance to students and the Director of Undergrad Program; coordinating and maintaining undergraduate student and program records for accreditation; preparing and distributing department documentation; and administering accounting processes for the department.Job RequirementsExperience:
This role requires a minimum of one (1) year of administrative support or administration experience or equivalent, preferably in a post-secondary or institutional environment or an equivalent combination of education, training and experience.Knowledge/Skills/Abilities:

  • A high level of proficiency with MS Office (especially Excel and Word), internet, and ability to produce correspondence, administrative forms and other documents
  • Excellent clerical, organizational and communication skills, and eagerness to learn
  • Ability to prioritize and perform detailed work accurately in a fast paced environment with constant interruptions
  • Ability to manage a large volume of work, to prioritize and problem-solve in order to meet deadlines
  • Proven ability to work as part of a team, as well as independently, is critical
  • Ability to problem solve, take initiative, and exercise judgment and diplomacy in dealing with students, faculty and staff
  • Knowledge of University systems such as FAST and Banner would be considered an asset.

Specialized Knowledge/Education:
Secondary school graduation or equivalent.
