Bring your true self and your ideas to the table, there’s always room for you and we’re always listening.What does a “day in the life” of my new team look like?You will collaborate with SOW Procurement Consultants, SOW Suppliers and customer stakeholders and will be accountable for managing a portfolio of Statement of Work (SOW) Requests ensuring the Contracting Authority receive an excellent service.You will report to the SOW Administration Team Leader and be part of a SOW Support team and will collaborate with SOW Procurement Consultants and SOW Supplier Management to support the end-to-end SOW process ensuring accurate delivery in line with agreed timelines.Key Responsibilities –SOW System management:

  • Managing the SOW end to end activity through Vendor Management System(VMS, SAP and Fieldglass) and serve as Subject Matter Expert
  • Helping facilitate the creation of SOW Reporting and Operational Contracts Manager (OCM) SAP Fieldglass accounts as well as adding cost centres and key customer information
  • Supporting the use of VMS technology by OCMs, stakeholders and Suppliers to ensure transaction activity is recorded within the VMS
  • Responsible for ensuring closure of SOWs via VMS after all invoicing/receipting has been completed
  • Training new team members on the end-to-end SOW process
  • Manage own workload allocation, collaborating with the SOW Procurement Consultant to deliver the SOW process including competitive bid tenders
  • Responsible for ensuring the data in Fieldglass is accurate and up to date at all times
  • Responsible for the management of the Purchase Order (PO) process and ensuring the PO number is captured against the SOW in Fieldglass

Stakeholder management and communication:

  • Building and maintaining meaningful and key relationships with, OCMs and Suppliers using phone, email, MS Teams and Fieldglass
  • Accountable for management of the PSR SOW Operations inbox
  • and facilitating the management of customer stakeholder and vendor queries throughout the process
  • Work in partnership with SOW Consultants and Supplier Management team to deliver a seamless service to stakeholders
  • Accountable for highlighting to the SOW Administration Team Leader any delays in the process as a result of Contracting Authority activities i.e., delayed approvals
  • Liaising with key client stakeholders and teams, including Finance and Technical teams

Outputs:

  • Support achievement of SOW Key Performance Indicators
  • Achieve 100% Service Level Agreements
  • Deliver seamless SOW end to end service through the continued expansion of SOW and Fieldglass across new contracting authorities
  • Support growth of team and training of new team members
  • Deliver exceptional client experience
  • Identify opportunities for continuous improvement
  • Deliver 100% data integrity and accuracy when processing SOWs to ensure accurate reporting in the VMS and accurate Purchase Requisition/PO creation

What do I need to succeed in this role?Must haves:

  • Experience in working within Public Sector or supporting an Organisation that support the Public Sector
  • Experience working within an administrative function
  • Experience in working as part of a remote team
  • Excellent oral/written communications and organisational skills
  • Experience in using a variety of methods of communication including phone, email and MS Teams to build rapport with stakeholders
  • Ability to establish and maintain effective working relationships
  • Ability to work in an agile and ever-changing environment, being able to foster a culture and reputation of continuous improvement and operational excellence
  • Experience in managing an inbox with multiple queries and issues in a timely manner

Nice to haves:

  • Experience with SAP Fieldglass or another VMS system and the SOW module
