Become part of this world and make a difference with us.https://www.weareams.com/You’ll be working as part of the Emerging Talent team and will be supporting the overarching delivery of Intern, Industrial Placement, and Graduate attraction, selection, and onboarding activity. The coordinator role plays a crucial part in campaign success, ensuring smooth delivery through exceptional organisational skills, strong attention to detail and a passion for candidate care.This is a varied role and will be involved in nearly all facets of the Graduate recruitment cycle. You could be supporting with university events, diary management, liaising with stakeholders, organising Assessment Centres, managing collateral, sending marketing communications – all within the same few days. This is a fluid role, perfect for someone highly organised who has an interest in working with people, and aspirations of growing a career in Graduate recruitment.What you’ll be doing:

  • Logistics management – room bookings, catering, event bookings, collateral ordering and stock management
  • Budget management – raising and recording of invoices, expense tracking, PO management and budget tracking
  • Diary management – organisation of shared team diaries, events calendars, supporting diary management of stakeholders i.e. assessors/speakers
  • Central inbox query management (first point of contact for candidates, suppliers and stakeholders). Flagging relevant emails to Recruiters and escalating appropriately.
  • Ensuring event sign-ups are correctly advertised, manage event invites, registrations, follow-up comms and feedback surveys
  • Source internal staff/graduates for event support. Plan and deliver briefing sessions for volunteers.
  • In-person and virtual support of events (managing virtual waiting room, breakout rooms or registrations, facilitation and room set-up at in-person events)
  • Provide administrative support for set up of virtual Assessment Centres including virtual links, timetables and diary placeholders
  • Delivering weekly Assessment Centre briefing sessions to candidates
  • Assist with facilitation of virtual Assessment Centres – welcoming candidates, taking registration, chasing late comers/no shows, delivering introduction and debrief
  • Accurately note taking at the wash-up and inputting notes and scores into the selection tracker
  • Support the offer process – candidate outcome calls, preparation of conditional offer emails, keep offer tracker up to date with acceptances and managing reneges/declines
  • Support on candidate in-person RTW checks
  • Managing other various ad-hoc administration activities to support the effective running of the recruitment process
  • Building and maintaining strong working relationships between all parties including recruiters, hiring managers and vendors
  • Participating in continuous improvement implementation within the immediate team

Key AccountabilitiesWhat do I need to succeed in this role?Must Haves:

  • Working knowledge of Microsoft packages; Outlook, Word, Excel, PowerPoint
  • Effective business communication skills, written and oral
  • Recruitment coordination experience
  • Effective communication skills with the ability to negotiate with and influence others and be clear, engaging and professional in written communications.
  • Strong organisational skills with the ability to manage conflicting priorities in a demanding environment
  • An interest or desire to work with data
