This unit handles special registrations and holds faculty level responsibilities for the Faculty of Open Studies. They manage the Academic Schedule and the official course record, as well as coordinate the final exam schedule.Enrolment Services works with Facilities and Operations to manage centrally controlled classrooms, assign space and supports space optimization and utilization for classrooms.This unit also ensures that all approved tuition and fees are accurately reflected on the student fee assessment and troubleshoots issues as they arise. Enrolment Services serves all undergraduate and continuing education students, and does some work for graduate studies.PositionThe Timetabling Coordinator is responsible for the accuracy and integrity of the official course and class record, ensuring that students are able to successfully register, course information is correctly reflected on the student’s transcript, and fee assessments are accurate.Serving in a student facing unit, while also supporting over 80 faculties/departments on campus, Coordinators must have excellent customer service skills, as well as strong knowledge of University policies and procedures as they are responsible for providing policy and procedure training, information, and support to faculties, departments, and students relating to course scheduling, registration, examinations and classroom booking. They are responsible for assigning centrally scheduled space to classes and to casual events; and for preparing the official examination schedule for the University of Alberta, working with departments and faculties to ensure the appropriate seating assignment has been secured.Duties

  • Using Campus Solutions, the Timetabling Coordinator updates and edits all course record data.
  • Evaluates and edits the class schedule for Fall/Winter and Spring/Summer.
  • Identifies, investigates, and solves problems related to course scheduling.
  • Prepares conflict free examination schedules and books venues for Fall/Winter and Spring/Summer examinations.
  • Evaluates class details, including technology requirements, in order to determine appropriate allocation of centrally scheduled space.
  • Provides in-person, on-demand assistance and problem resolution to students and Department staff relating to course scheduling, examinations, registration, and room bookings.

Minimum Qualifications

  • University degree or related diploma with additional years of experience
  • 1-2 years of office-related experience. An acceptable equivalent combination of education and experience may be considered.
  • Experience with scheduling at a post-secondary institution.
  • Experience and/or familiarity with PeopleSoft, Bear Tracks and Ad Astra

Preferred Qualifications

  • Excellent communication (oral and written), organizational and interpersonal skills; high degree of tact and diplomacy
  • A thorough knowledge of University policies and procedures, especially in the areas of course scheduling, registration, and examinations.
  • Familiarity with the campus layout and facilities required.
