Is this job for you?:We are looking for a dynamic Executive Assistant to serve as a vital support system for our executive team, embodying the role of a company ambassador. This position requires a trustworthy individual who can handle sensitive information with utmost discretion. The ideal candidate will be an on-your-feet thinker, able to adapt swiftly to changing priorities and unforeseen challenges. In addition to exceptional organizational skills, a sharp negotiating ability will be essential for managing various stakeholder engagements and securing favorable outcomes. The successful candidate will also be an adept anticipator, proactively identifying potential needs and preparing solutions before they arise. This role not only demands a high level of professionalism but also offers the opportunity to shape the organization’s internal culture and external perception. Responsibilities:

  • Provide comprehensive support to the Executive team including interpreting organizational data, coordinating with departments, and providing analysis.
  • Assist in project milestones, while informing the Executive team of key tasks, deadlines and deliverables.
  • Plan and schedule meetings. Set up of meeting rooms, technology and other logistics.
  • Business correspondence, presentations (Visio, PowerPoint), and meeting minutes, with strict attention to detail.
  • Manages the Executive team’s travel logistics, including visa processes, passport management, flights, and accommodations.
  • Compile expense reports.
  • Gather and analyze departmental data and connect to organizational goals.
  • Leverage technology for process improvements.
  • Track and follow-up on business metrics and deliverables to ensure timely execution.
  • Demonstrate a political and social understanding, capable of navigating high-level communications both internally and externally.
  • Organize Board packages and communications.
  • Manage Outlook email communications and calendars.
  • Take initiative while maintaining a focus on cost-conscious decisions and budget considerations.
  • Coordinate team luncheons and other special events.

Qualifications:

  • Bachelor’s degree in business or MBA.
  • Experience working in a results-orientated, competitive and high-performance culture.
  • Entrepreneurial mindset and a hands-on approach to problem-solving.
  • Extremely strong writing, communication, and organizational skills.
  • Proficient in Visio, PowerPoint, and other presentation software.
  • Excellent time management and the ability to handle multiple tasks with a focus on follow-up and completion.
  • Ability to support a high-demand role, recognizing that the position requires more than a standard 8 AM to 5 PM schedule.
  • Highly detail-oriented, accurate, and articulate.
  • A team player with strong interpersonal skills and an assertive enough attitude to manage follow-ups and deadlines with senior personnel.
  • Politically savvy and socially aware.
  • Willingness to operate with minimal supervision
