Working with the Contract Directors the team is responsible for managing the property estate for their clients, with a focus on delivering industry leading management of their client’s properties, contributing to the Centre of Excellence and maintaining strong relationships with each client.This is an exciting role for anyone who wants to join an industry leading team and provide support to the corporate clients JLL acts for across the UK. You will form an integral part of your client team with the support and training from Asset Services, which provides you with the opportunities for career development within MS and across JLL’s clients.The Surveying Executive will support the Contract Director (CD) & Head of Aviva (HoA) to coordinate the national Aviva Investors (AI) portfolio including reporting, data management, KPI attainment and overseeing one-off projects. This is an opportunity for a highly organised and driven individual to take a key coordination and oversight role to support one of JLL’s largest and most prestigious client instructions.Summary of Role Requirements

  • Working with the JLL Senior Management Team to support the operation of the national AI account – covering all sectors.
  • Co-ordination of updates for reporting, to include chasing other agents for monthly updates, preparing, and checking output as well as ensuring reports are delivered on time (Asset Manager Sector Report, RPI Report, KPI Report etc).
  • Acting as the JLL Data Guardian for the AI account including being the single point of contact for data queries from AI and coordinating the response from the various JLL teams. Carrying out a monthly data check and data integrity check.
  • Overseeing the collation of the quarterly KPI report with the support from CD and HoA.
  • Supporting on or leading small projects within the client team.
  • Supporting the transition from APB to Yardi Voyager.
  • Ensuring the PM teams update trackers at the required intervals and escalating to the CD where appropriate. Submitting all trackers and reports by the deadlines set by AI (Service Charge, RPI, In/Out, Arrears etc).
  • Reviewing the reports and trackers at regular intervals and suggesting more efficient ways of working or simplified processes in conjunction with the CD & HoA.
  • Monitoring all key client KPIs continually to ensure attainment. Assist in problem solving any issues and escalating to the CD where needed.
  • Ensuring the APB (then Voyager) system has the correct Property Manager, Asset Manager & Sector Lead listed for each managed asset.
  • Establish and maintain a new filing structure within the wider teams (currently split between London & Norwich).
  • Ensure Letters of Authority are updated each time we take on a new client entity or every 12 months whichever comes soonest.
  • Ensuring a monthly list of VOID units are issued to S2 for H&S checks.
  • Support the CD with preparation for client meetings, welcoming new starters into team etc
  • General further support where required.
  • Liaison with both internal and external clients to co-ordinate database services and information, including managing the processes involved in new property and/or portfolio management instructions and properties going out of management
  • Such other duties that may evolve as the instruction progresses and the new Cluster Structure evolves as mutually agreed
