Rol e Overview:
We are hiring an experienced Office Administrator to join the Eptura team to support our London Corporate office location with a Hybrid schedule of T, W, TH in office and WFH M, F unless events are scheduled. If you are a passionate self-starter with a desire to support multiple teams and departments, Eptura might be the company for you! In addition to supporting our London office, you will provide direct support to our Chief Technology Officer (CTO) and administrative assistance to help ensure smooth transactions and manage some communication, projects, and initiatives for members of our Executive Leadership Team.
Key Responsibilities:

Company Ambassador: Represent Eptura in the London office.

Office Management: Oversee daily office operations, ensuring cleanliness and functionality of the kitchen café area and handling any appliance issues.

Visitor Coordination: Welcome visitors, assist with refreshments, and manage building visitor systems.

Event Support: Coordinate catering for internal events, support on-site meetings, and arrange international and domestic travel for executives.

Meeting Management: Schedule and organize key meetings, prepare agendas, coordinate logistics, and follow up with attendees.

Document Management: Manage important documents, including electronic storage, signatures, and dissemination of reports.

Project Support: Assist with special projects, including events, off-sites, budgets, and Board preparations.

Conference Room and Desk Booking: Manage conference room reservations and the desk booking system.

Communication: Liaise between the executive team and stakeholders to ensure clear communication.

Telephone Handling: Manage telephone calls (experience with AVAYA phone system is an advantage).

Administrative Support: Assist cross-functional teams with administrative tasks and support HR, IT, and Payroll with onboarding and offboarding.

Mail and Packages: Handle receipt, sorting, and delivery of mail and packages.

Inventory Management: Maintain inventory of office and food supplies and oversee office supplies and equipment.

Compliance: Ensure compliance with office jobs, annual PAT testing, Fire Risk Assessments, and manage training for Fire Marshal, First Aider, and H&S officer roles.

Expense Management: Manage expense reports and global expenses for the executive team, ensuring policy compliance.

Ad hoc Tasks: Perform additional tasks as required.
About You:

Experience: 4+ years of relevant experience in a fast-paced office environment.

Skills: Proficient in Microsoft Office/Teams/Zoom. Excellent communication skills, both verbal and written.

Interpersonal Skills: Flexibility and adaptability in a fast-paced office environment. Comfortable multi-tasking and prioritizing tasks without guidance. Excellent interpersonal skills.

Professionalism: Ability to develop and maintain excellent working relationships with all appropriate executive levels within the company, the local community, and with critical industry contacts. Ability to handle highly confidential and sensitive materials and issues.

Detail-Oriented: Great attention to detail and highly organized with a can-do attitude.

Reliability: Demonstrates consistent punctuality and reliability, ensuring dependable attendance both in-office and remotely.

Proactive Problem-Solving: Actively identifies potential issues and implements effective solutions before they escalate.
