Start your journey.The Event Sourcing Manager is the main point of client (internal or external) and supplier contact from initial Meeting Request through proposal to contracting and on occasion payment.Key areas of the role include extensive venue and destination knowledge, understanding of onsite logistics, cost and contract negotiation and budget management. Excellent time management, flexibility and collaboration skills are also essential to this role.What you’ll be doing:
- Review meeting request and conduct/join meeting qualification call with client/internal team
- Identify appropriate venues according to client/event needs
- Understand and utilize preferred suppliers programme
- Advise and guide the client/internal team about suitable options
- Inform about rejected venues (quality, availability…)
- Maintain contact with suppliers and manage option dates
- Reminders to client/internal team on deadlines
- Budget management of project, either directly if sourcing only or indirectly if working alongside internal team
- If sourcing only secure meeting owner approval on budget and terms & conditions of suppliers
- Negotiate supplier rates and conditions
- Ensure per project profitability through commission and fees
- Support with coordination of Inspection trips if needed
- Where required secure required data according to customer policies (POs…)
- Confirm/Cancel venues to suppliers
- Update Meetings & Events Finance and Project Management systems with all project information
- Provide feedback to suppliers on cancelled venues
- Where required secure accurate contracts from suppliers to be signed either by GBT or by client directly
- Renegotiate rates and conditions
- Issue deposit invoices to customer if managing payment
- Make required payments to suppliers where required
- Raise commission invoices as required
- Attend internal supplier educational programmes to ensure venue and destination knowledge is current
- Attend at least 2 fam trips and carry out at least 2 site visit days per year to contribute towards increased venue knowledge and supplier relationships
- Attend at least 1 Industry trade show a year either UK or Overseas
- Share feedback with wider team
- Carry out all attributes of meeting planner role to a high level
- Lead high level, high value bookings
- Take on project work
- Join RFP/Client presentations where required
- Troubleshoot/proof own work
- Flags any arising issues / complaints with solutions
- Manages own time effectively to ensure deadlines are reached
- Flex’s working hours if required to align with client and supplier time zones
- May require travel to destinations worldwide, in support of client site inspections/onsite assistance
What we need from you:
- Minimum of 5 years experience in hotel/venue buying required
- Minimum of 3 years Event Management experience preferred
- Proven negotiation skills
- Knowledge of incentive travel and creative events preferred
- Extensive knowledge of UK and global destinations required
- Domestic and international venue/hotel knowledge essential
- Excellent communication and collaboration skills essential
- Online sourcing tool experience preferable ie Cvent, Lanyon
- Operations experience in hospitality industry or equivalent is a benefit
- Prior successful experience in developing and maintaining key client and supplier relationships
- Prior experience in effectively handling multiple projects/demands
- Excellent time management and communication skills
- Strong knowledge of program/event management and budget maintenance
- Proven aptitude for technology and/or software solutions and analytical skills required.
- Strong Powerpoint and Excel skills preferred
- Ability to travel by airplane, boat, rail and/or car
