They are looking for a permanent, full-time personal assistant to support the director. You will have had a minimum of three years’ experience in a similar role in a creative environment.Job description:

  • Act as the gatekeeper for the director
  • Coordinate the director’s diary and time
  • Manage all correspondence, including emails, letters and phone, draft responses and reminders
  • Prepare, prioritize and manage tasks for the director’s attention
  • Compile invoices and expenses
  • Coordinate attendance of events, interviews, conferences and talks and work closely with the communications team on press related matters
  • Liaise between the director and internal colleagues, wider project teams, clients and external contacts
  • Research and compile complex travel arrangements, both national and international
  • Research costs manage airline memberships, visas, foreign currencies, online check-in
  • Ensure the director has all necessary documentation and background information
  • Organisation of social events
  • Assist with personal and private administration
  • Manage invitations and corporate hospitality

Skills necessary:

  • Confident, professional and self-motivated, able to think ahead and anticipate needs before they arise
  • Excellent communication and organizational skills
  • Attention to detail
  • Ability and confidence to work on own initiative with limited supervision
  • Adaptable, calm under pressure and with a sense of humour
  • Able to deal with sensitive and confidential information with absolute discretion
  • Proactive in building strong relationships and trust with colleagues at all levels of management an interest in architecture, art and food
