Community Health and Wellness DepartmentABOUT THE ROLE
We are seeking an organized individual with excellent attention to detail and accuracy to fill the position of Administrative Assistant, Senior Services. The incumbent will provide comprehensive administrative support to the Senior Services department, ensuring efficient operation and delivery of services. This role requires a thorough understanding of various governmental and medical forms, and a strong ability to manage documentation and assist during programs and events. Reporting directly to the Supervisor Senior Services, this is a full-time permanent position, based out of Fort McKay, AB,KEY RESPONSIBILITIES
Primary responsibilities include, but are not limited to:

  • Provide administrative assistance to the Senior Services department.
  • Manage correspondence, scheduling, and communication for the department.
  • Organize and maintain files and records, ensuring confidentiality and accessibility.
  • Prepare and distribute meeting agendas, minutes, and other relevant documents.
  • Assist seniors in completing and submitting forms for pensions (CPP, OAS), income tax, medical, and registration (birth certificates, photo ID).
  • Stay updated on the requirements and procedures for various forms and applications.
  • Provide guidance and support to seniors in understanding and navigating these processes.
  • Utilize Microsoft Teams, Word, Excel, Outlook, and PowerPoint for daily tasks and communication.
  • Create and manage spreadsheets, documents, and presentations as needed.
  • Coordinate virtual meetings and maintain digital records.
  • Assist in the planning and execution of programs and events for seniors.
  • Provide logistical support during events, ensuring smooth operation and addressing issues.
  • Coordinate with other departments and external organizations for event-related needs.
  • Other duties as assigned.

KEY REQUIREMENTS

  • High school diploma or equivalent is required.
  • Additional education or certification in office administration, business administration, social services, or a related field is highly preferred.
  • Training or coursework in elder care, social work, or community services is an asset.
  • Minimum of 2-3 years of experience in an administrative role, preferably within a social services, community organization, or healthcare setting.
  • Demonstrated experience with assisting individuals in completing and understanding various governmental forms and applications, such as pensions (CPP, OAS), income tax, medical, and registration forms (birth certificates, photo ID).
  • Proven track record of providing high-level administrative support, including scheduling, file management, and document preparation.
  • Experience in coordinating and supporting events and programs, including logistical arrangements and participant assistance.
  • Proficiency in Microsoft Office Suite (Teams, Word, Excel, Outlook, PowerPoint), with practical experience in creating and managing documents, spreadsheets, and presentations.
  • Valid Class 5 driver’s license is required\
  • Must provide a Clean Drivers Abstract
  • Must provide a clear Criminal Record check with Vulnerable Sector
  • Ability to speak Cree or Dene is a definite asset
  • Experience working in an Indigenous community including knowledge of First Nations culture, traditions and values is considered an asset
