Job DescriptionAssistant Front Office ManagerWe are searching for a dynamic leader who is passionate about delivering on the promise of excellence in Guest Service. Reporting to the Front Office Manager, this individual will by an outgoing and enthusiastic Leader committed to providing results for Guest and Colleagues.What you will be doing:

  • Ensuring the smooth daily operations of the Front Office and Tours Desk while maintaining high levels of guest service
  • Overseeing the hiring, coaching, developing, and performance management of the Front Desk Supervisors, Front Desk Agents and Tour Operations Agents.
  • To improve service delivery by streamlining procedures and removing obstacles that hinder service delivery
  • Ensuring inter-departmental communication and cooperation in the interest of better guest satisfaction
  • Developing visionary proposals aimed at improving service climate, colleague moral, and shareholder return
  • Handling of guest comments and concerns, ensuring all guest needs are met
  • Establishing and maintaining a good working relationship between the hotel and affiliated agencies and their representatives
  • Participating in communication meetings within the Front Office, the hotel, and the company
  • Ensure accurate billing to Tour companies, complete “No Show” FIT billing and Cancelled tour billing
  • Complete tour and FIT audits to ensure accuracy of billing
  • Follow up with any unpaid tour and FIT accounts to resolve open folio’s
  • Ensure Summer and Winter room contract and promotional rates are accurately loaded in Property Manager
  • Being responsible for a personal cash float
  • Ensure that the operational budget for the Front Office is adhered to, and all costs are controlled
  • Ensure optimal and efficient scheduling in all areas of the Front Office
  • Practicing room yield management, to ensure maximum profitability of overall operations
  • Monitoring inventory, room types, and categories
  • Attending promotional functions as required
  • Ensuring the safety and well-being of our guests and co-workers by having a working knowledge of crisis and emergency procedures
  • Ensure a clean and safe working environment, and actively participate in health and safety initiatives
  • Carry out any other tasks as assigned

QualificationsYour experience and skills include:

  • Previous proven supervisory experience in Front Office
  • Extensive knowledge of Front Office policies and procedures
  • Hospitality Administration program diploma or degree from a recognized institute an asset
  • Highest guest service orientation with the vision and ability to lead employees consistently to achieve goals and work in a highly participative team environment
  • Highly organized, career and result oriented, with the ability to be flexible with work hours, days off, assignments and additional duties
  • Must be able to work well under pressure in a fast paced and consistently changing environment
  • Operational knowledge and use of Opera, WORD, and EXCEL
  • Self‑motivated, with the ability to make effective decisions
  • Demonstrates initiative, and the ability to work with minimal supervision
  • Ability to maintain high service levels under pressure
  • Ability to consistently stand and walk through out shift
