We’re Hiring: Elementary School Assistant Office Manager!Position: Full-Time; 8-hour day; 217 days; $25.00 hour + benefitsLocation: Award-Winning Charter School, Commerce City, COJoin our dynamic team as the Assistant Office Manager and take charge of vital administrative support functions that keep our school running smoothly! In this key leadership support role, you will oversee the Universal Pre-K (UPK) program, manage attendance, support families with chronic absenteeism, and ensure the day-to-day office operations are efficient and organized. This position offers the opportunity to make a real impact by supporting our students, families, and staff in a collaborative, positive environment.Key Responsibilities:

  • UPK Management: Manage the UPK enrollment process, maintain accurate records, and guide families through each step of the enrollment process.
  • Attendance & Chronic Absenteeism: Track student attendance, collaborate with leadership to address chronic absenteeism, and implement strategies for support.
  • Office Management: Oversee office traffic, direct visitors, manage student needs, and maintain a welcoming, safe, and professional environment.
  • Communication & Collaboration: Facilitate clear communication between staff, families, and students, addressing concerns and ensuring timely follow-ups.
  • Student Welfare: Monitor and report student health, safety, and welfare concerns, ensuring students receive the support they need.
  • Safety Procedures: Support and implement emergency safety protocols, including hold, secure, evacuation, and other safety measures as directed by school leadership.
  • Technology Proficiency: Assist in managing school records using PowerSchool and handle email communications efficiently via Outlook.
  • General Office Operations: Coordinate communication, maintain student records, process forms and documents, and ensure office efficiency and organization.

What We’re Looking For:

  • Strong organizational skills and the ability to manage multiple tasks efficiently.
  • Experience in an administrative support or office management role, preferably in an educational setting.
  • Excellent communication and interpersonal skills, with the ability to handle sensitive situations with professionalism.
  • A passion for supporting students and families in a positive, collaborative school environment.
  • Familiarity with PowerSchool and Outlook for managing school records and communication.

Qualifications:

  • Education: High school diploma required; Associate’s degree or higher preferred.
  • Experience: At least 2 years of experience in office administration or management, ideally within an educational environment.
  • Skills: Proficiency in office software (Microsoft Office Suite, PowerSchool, Outlook) and the ability to learn new systems quickly.
  • Attention to Detail: Strong attention to detail and organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Communication: Excellent verbal and written communication skills, with the ability to collaborate and address concerns professionally.
  • Confidentiality: A commitment to maintaining confidentiality and handling sensitive student and family information with discretion.
  • Safety Knowledge: Familiarity with emergency safety protocols, including hold, secure, and evacuation procedures.
  • Proficiency in Spanish and English: Strong ability to communicate fluently in both Spanish and English, ensuring effective communication with diverse families and staff.
