Org. Setting and Reporting

Created in December 1999, the United Nations Office for Disaster Risk Reduction (UNDRR) is the designated focal point in the United Nations system for the coordination of efforts to reduce disasters and to ensure synergies among the disaster reduction activities of the United Nations and regional organizations and activities in both developed and less developed countries. Led by the United Nations Special Representative of the Secretary-General for Disaster Risk Reduction (SRSG), UNDRR has over 150 staff located in its headquarters in Geneva, Switzerland, and in regional offices. Specifically, UNDRR guides, monitors, analyses and reports on progress in the implementation of the Sendai Framework for Disaster Risk Reduction 2015-2030, supports regional and national implementation of the Framework and catalyses action and increases global awareness to reduce disaster risk working with UN Member States and a broad range of partners and stakeholders, including civil society, the private sector, parliamentarians and the science and technology community. This temporary position is located in the Director’s office of UNDRR. The incumbent will report to the Senior Coordination Officer of the Early Warning for All initiative at UNDRR.

Responsibilities

Under the overall supervision of the Senior Coordination Officer of the EW4All initiative, and day-to-day supervision of the Programme Management Officer, the incumbent will be responsible for the following functions:

Assists in supporting effective coordination and implementation of the EW4All initiative by:

  • Reviewing and analyzing relevant documents and reports;
  • Liaising with UNDRR regional Offices, Branches and Units, and other UNDRR initiatives;
  • Assisting the planning and organizing of hybrid, online and in-person coordination meetings;
  • Supporting the preparation of the meetings of the Advisory Panel of the initiative;
  • Contribute to the preparation of written outputs in support of these meetings such as background papers, analysis, sections of reports and studies, presentations etc.

Assists in resource mobilization for and the planning, development, budgeting and management of projects by:

  • Undertaking research, and drafting proposals and project specifications;
  • Liaising with stakeholders and partners, including donors;
  • Preparing budgets and monitoring expenditure;
  • Monitoring the implementation of funded projects; and
  • Reviewing and drafting reports.

Assists in the planning, budgeting and servicing of global and regional multistakeholder fora for the EW4All initiative and other events by :

  • Liaising with the office’s Administrative and Finance Assistant on organizational matters and logistics
  • Liaising with co-lead, partner organizations and relevant UNDRR Branches and Units for logistics and substantive matters;
  • Drafting or providing substantive and technical inputs to meeting documentation and reports;
  • Contributes to the preparation of briefing materials and draft speaking notes and speeches;
  • Ensuring follow-up of action points that arise from meetings and events.

Contributes to the coordination of communications and outreach activities by:

  • Producing awareness material related to the EW4All initiative and the Front Office;
  • Supporting the drafting of various written outputs and compiling of specific content for press releases, media packs, reports, brochures, briefings, newsletters, and Web-based media;
  • Responding to external requests for information, general enquiries and preparing related correspondence;
  • Working closely with other staff to implement an appropriate electronic information archive system.

Provides support for the recruitment and integration of interns in the FO-EW4A work :

  • facilitating all intern recruitment;
  • Acting as day-to-day supervisor of recruited interns, under the overall supervision of the senior coordinator.

Contributes to the collection and analysis of data as well as identification of trends or patterns and provides draft insights through graphs, charts, tables and reports using data visualization methods for data-driven planning, decision-making, presentation and reporting.

Perform other related duties as assigned.

Education

  • Advanced university degree (Master’s degree or equivalent) in business administration, management, economics or a related field is required. A first-level university degree in combination with two (2) years of qualifying experience may be accepted in lieu of the advanced university degree. Successful completion of both degree and non-degree programs in data analytics, business analytics or data science programs is desirable.

Work Experience

  • A minimum of two (2) years of progressively responsible experience in project/programme management, administration or related area is required. Experience in disaster risk reduction, early warning and early and anticipatory action or related area is required. Experience working in international or intergovernmental settings is desirable. Experience in data analytics or related area is desirable.

Languages

  • English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Working knowledge of French is desirable.
