This position is fully grant funded and is responsible for constructing and maintaining a biobank of samples from diverse mining locations and geological formations throughout Canada as part of a multi-million dollar digital supercluster project focused on the Mining Microbiome at UBC. The position is responsible for a wide range of functions related to sample receiving, preparation and inventory management. The successful candidate will strategically manage technical, financial, administrative and reporting components related to these tasks. They will establish a barcode scanning system integrated within the eLab laboratory information management system, develop protocols for sample storage and preparation (both liquid and solids matrices), and oversee a biobank of refrigerators and networked ultra-low freezers in the Life Sciences Institute (LSI) integral to the project. They will report to the project directors at UBC and coordinate activities in close consultation with the LSI Biofactorial automation core to effect sample transfer in plate-based formats for downstream nucleic acid purification and sequencing.Organizational Status
Position reports to Dr. Steven Hallam, and is a member of the project management team under the supervision of the core facility manager, Dr. Tom Pfeifer. The Biobank Manager will act as a liaison between the various project participants (students, staff, research faculty and directors), ORS, UBC Finance, advisory board, and provide regular reports on biobank status and sample preparation progress to the project management team.Work Performed

  • Develop implementation plan for biobank construction and operations in consultation with the project management team.
  • Manage biobank activities on a daily basis, consistent with implementation of the Mining Microbiome project including but not limited to sample receiving, inventory management and preparation.
  • Formulate staffing plans based on the scheduling of tasks and budget for the biobank.
  • Develops and forecasts budgets, monitors expenditures and provides monthly financial reports and more analytical annual financial reports.
  • Access human resources needs, reviewing staffing levels, evaluating current needs including reducing appointments or hiring additional short-term project staff or students.
  • Coordinate purchasing and purchase order management.
  • Develop and deliver reports related to sample inventory management
  • Provide training in eLab systems navigation for the project and prepares workshops on sample preparation and inventory management for project participants
  • Interact with building operations to ensure infrastructure maintenance is adequate for long-term sample storage and monitoring.
  • Provide coordination for laboratory projects and initiatives and co-develops new project proposals with project management team.

Consequence of Error/JudgementA high degree of organization, good judgment, integrity and attention to detail is required in making appropriate decisions, including those involving sample chain of custody, financial and human resource issues. Errors in judgment or decisions may negatively impact trainees, financial and operational activities of the project. Errors in judgment may negatively impact the reputation of the project and the University.Supervision Received
The successful candidate needs to be a self-motivated cooperator with exceptional problem solving and multi-tasking powers, operating within established UBC policies and procedures. Sets own priorities in consultation with directors and the management team.Supervision Given
Coordinates a team of faculty, staff, students and contractors working on sample receiving, preparation and long-term storage. Consults with project management team and collaborators from the public and private sectors.Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or an equivalent combination of education and experience.– Willingness to respect diverse perspectives, including perspectives in conflict with one’s own
– Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusionPreferred QualificationsMSc or PhD in business management, geology, computer science, engineering, ecology, molecular biology, bioinformatics chemistry, or biochemistry preferred. Candidates without degrees in focus areas may also be considered if they have highly relevant management experience.Minimum two years of experience operating in a small team start-up, research laboratory, small business, other required. Should be comfortable with information management systems, spreadsheets, word processing, grant and report writing, basic graphic design and website development. Must be able to multi-task and manage multiple projects simultaneously. Must be able to manage competing deadlines and forecast upcoming responsibilities. Experience with data-driven problem solving, visual analysis, and entrepreneurship a plus. Strong fundamentals in the following areas: management, process engineering, statistics, database design, GMP standards, or biotechnology an asset. The position requires exceptional communication skills working across multiple research and training levels and a high level of initiative, drive and personal responsibility.
