Building Services Supervisor (Multi-Discipline)

Key accountabilities
The Building Services Supervisor is responsible for the efficient and effective day-to-day supervision of compliance maintenance activities (internal and external) relating to the building services and associated assets across the STFC portfolio. The role reports to the Building Services Manager and supervises third party specialist contractors, the Internal Maintenance team or directly undertakes maintenance inspection tasks to safeguard the provision of resilient, safe and compliant Building Services across the STFC estate. This ensures that these services meet or exceed relevant industry standards and comply with STFC’s SHE codes and Estates Services health and safety standards.
Role Responsibilities
- On-site supervision of multi-disciplined maintenance engineers and operatives engaged in built environment planned preventative, compliance based, statutory maintenance and asset replacement activities.
- Support and contribute to the production and revision of service specifications, CAFM maintenance schedules and service requirements for specific asset types.
- Ensure that all commissioned statutory compliance related maintenance tasks, including PPM remedials are completed in a timely fashion according to the maintenance schedules.
- Provide an effective contractor site induction and on-boarding function according to STFC SHE Code, Estates Services health and safety standards and health and safety legislation and regulation.
- Undertaking the review of third-party risk assessment and method statements (RAMS), completing the necessary permit to work applications and making suitable access and isolation arrangements for the efficient delivery of the maintenance activity.
- Act as the on-site point of contact for contractors including the completion of post works audits to ensure appropriate quality assurance standards are maintained and that works have been completed satisfactorily prior to closing any permit to work.
- Where required, act as Appointed or Authorised Person for the approval of Permit to Work applications on a range of systems and fulfil the role of Responsible Person (RP) where required. These duties will be confirmed by letter of appointment aligned to your competency. Where competency-based training is required, this shall be provided to enable the full coverage of the role duties.
- Support the production of health and safety documentation such as standard operating procedures (SOPs), safe systems of work (SSOWs) and risk assessments (RAs) where requested.
- Support the maintenance and update of the Estates Services CAFM asset register following asset replacement or minor works delivery.
- Engage proactively in the continued development of the Estates Services CAFM system, identifying and escalating system or process issues, contributing to system improvement working groups and attending all user training.
- Provide a ‘cross-cover’ function supporting both peers and line managers during periods of absence such as annual leave and sickness absence.
- Supervise the resolution of service interruptions whether reactive or planned, helping to ensure the impact of the loss of service is minimised, and providing robust communications throughout the process.
- Ensure all disruptive works are communicated and scheduled effectively according to the Estates Services Communications Plan(s).
- Maintain a high level of customer focus and communication, ensuring the customer remains central to the planning and completion of all works, including minor work /project work. Ensuring that an efficient and effective flow of information is maintained to customers, through the channels provided by the Estates Services communication plan, including responding to reactive communication requests in a timely fashion.
- To act as the operational communications link between Estates Services contractors and the customers (both internal and external) through attendance of meetings and committees as required.
- Attend appropriate training to support the role and service delivery. Undertake all mandatory, role specific and SHE Code, Estates Services health and safety training as required.
- Champion the Estates service in a positive manner.
- Deliver a high level of customer service.
- This role includes the requirement to be part of an on-call rota covering periods out of normal working hours where required.

As a member of STFC’s Estates Services, proactively support the Estates remit to deliver flexible, customer focused and efficient services that support the delivery of STFC’s vision, values and objectives.
The Estates Services team needs to be agile and able to adapt to the ever-changing needs of our diverse customer base therefore it is expected that the post holder will demonstrate a flexible and adaptable approach.
All members of the Estates team will, from time to time, be expected to lead or participate (appropriate to Band level) in STFC and Estates projects that may be outside their normal remit.
