If you are detail oriented, innovative, and enjoy data entry, then keep reading for a fantastic opportunity as a Clerk II within Edmonton Transit Service!Reporting to the Supervisor, Resource Management, you will be primarily responsible for managing confidential Edmonton Transit Service (ETS) Operator absence records. You will audit the attendance flaggings in our Transit Operator Performance (TOPS) system and prepare the list of Operators that have to be counseled for absences, as well as create the Operators’ annual performance appraisal packages.What will you do?

  • Pull absence and performance reporting from TOPS for all ETS Operators
  • Audit reporting for discrepancies and errors, and investigate by confirming the information with application stakeholders
  • Distribute reporting daily to appropriate parties for action and follow up
  • Liaise with various internal stakeholders to ensure documentation related to these reports is complete and accurate
  • Review completed documentation for accuracy and completion, and input the information into databases/systems
  • Notify relevant stakeholders of changes to documentation, and makes changes in TOPS immediately when Operators are moved through different levels of attendance counseling
  • Ensure TOPS and Edmonton Transit Dispatch System (ETDS) databases are kept up to date and accurate with all new hire package information and current employee changes
  • Perform administrative duties related to records management, such as scanning, filing, and other office duties
  • Archive and track Operator Performance Files using digital software such as Google Sheets
  • Organize new and existing employee files according to established practices and procedures
  • Administer employee recognition programs

Qualifications

  • Completion of Grade 12 (or equivalent, or higher) including business subjects with emphasis on general office practices

OR
Completion of an appropriate certificate program from an approved business school/college * Two (2) years of diversified and progressively responsible administrative experience, including data and process managementAssets:

  • Experience in PeopleSoft, SAP, POSSE and Ariba

Skills required for success:

  • Knowledge of modern office practices, procedures, and equipment
  • Ability to make decisions in accordance with established policies and procedures
  • Proven ability to handle sensitive information while using discretion
  • Ability to manage a large volume of work with competing priorities
  • Ability to establish and maintain effective working relationships
  • Ability to work independently with minimal supervision as well as in a team environment where work responsibilities depend on collaboration
  • Excellent verbal and written communication skills, including strong grammar, punctuation, and spelling
  • Attention to detail, including the ability to ensure data integrity
  • Experience in Google Workspace (Gmail, Calendar, Sheets, Docs, etc.), and the ability to learn and adapt to evolving technology
  • Excellent time management skills, including the ability to effectively organize and prioritize work

  • Note: This position ​may be eligible for a hybrid work arrangement ​with ​the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52.
