We are currently hiring a Clinic Supervisor at Stratum Clinic Oxford. The successful candidate will be a key member of a small team responsible for supporting the overall success and culture of the clinic, leading a team of reception staff to deliver excellent services for patients and doctors.Part of the role is to assist the Practice Manager in supporting the team in running the Clinic’s day-to-day operations to ensure a smooth journey for patients.This is a hands-on role and will include running the reception at times to suit the business’ needs.General Duties and Responsibilities

  • Responsible for day-to-day diary management to maximise bookings and utilisation.
  • Responsible for day-to-day management of services offered.
  • Support all marketing activity and ensure that all team members are fully aware of and engage with any promotional activity.
  • Support improvement on conversion and revenue per patient
  • Manage unexpected situations as they arise, including staffing and building.
  • Support the PM in scheduling Consultant diaries and Employed Staffing rotas on Practice Pal
  • Monitor and report on white space via bookings to maximise sales opportunities.
  • Ensure all patient registration forms (Portals) are complete in advance (24hr checks in place)
  • Support the PM in maintaining training standards across the clinic.
  • Leading and managing the Reception team.

Experience

  • Previous clinical reception and administration experience in a Private or NHS setting
  • Previous supervisory experience
  • Knowledge of patient database systems
  • Competent with Microsoft Office software
  • Understanding of medical treatments
  • Understanding of clinical and pricing documentation

Skills and Qualities

  • 3 – 5 years management experience
  • Medical background ideally but not essential or from a retail background assistant managerial level
  • Excellent oral and written communication skills
  • Passion for patient care and delivering an effective service
  • Numeracy and administrative skills
  • Organisational and time management skills
  • Demonstrates a professional, confident and calm approach
  • Self-motivated and able to motivate others
  • Ability to work independently and as part of a team
  • Eye for detail to ensure there are no clerical/fee errors
  • Ability to multi-task and problem solve
  • Works to well established routines/procedures
  • Able to develop and maintain positive and professional working relationships with all staff and patients
  • Reliable attendance and timekeeping
