The range of services provided by the units within the OREM appear at every point in the student life cycle, beginning with recruitment and admissions, all the way through to convocation. Members of the OREM team strive to be consistent in their interpretation, communication and application of regulations, policies and procedures while being both professional and respectful of the diversity and complexity of needs across the university campus. The OREM interacts with staff, students, faculty, university and external community members in order to assist in the delivery of core services that cross operational and departmental boundaries (e.g., registration, class and exam scheduling). It is important that students and our university colleagues are well-informed and well-supported by the OREM and the services offered.*This position is eligible for a Modified Work Schedule*Job SummaryStudent Support Services (SSS) is a unit within the Office of the Registrar (OREG) which provides services to current and former students, as well as to faculty and staff of the University. As part of the Division of Student Affairs, the unit is committed to being a partner in supporting student success and providing service excellence. SSS staff work as a team to ensure a high level of service within a busy environment driven primarily by Calendar deadlines.Under the direction of the Director, Student Support Services, the Coordinator, Space Bookings and Events is responsible for evaluating, analysing, researching and approving/denying requests to book on-campus space for faculty, staff, ratified student groups, and community members. The Coordinator, Space Bookings and Events is responsible for building collaborative partnerships with campus stakeholders in order to deliver an outstanding event experience. The Coordinator also supervises the day-to-day operations of and provides training, mentorship, and acts as an expert resource for the Bookings and Exams Assistant as well as a Work Study student; assists the Director in hiring new staff members; acts as the first point of escalation for complex booking requests and holds primary responsibility for coordination of community bookings.Job RequirementsExperience:Minimum 3 years’ experience working within a post-secondary institution or a comparable high-volume, customer-service oriented office environmentRelated work experience should include:

  • Strong working knowledge of Microsoft Word, Excel, Outlook, Sharepoint, and Teams
  • Knowledge of University of Victoria campus and policies, procedures
  • Demonstrated proficiency with database programs; familiarity with and experience using Infosilem Enterprise, Suite, and Administration considered an asset
  • Knowledge of Freedom of Information and Protection of Privacy (FOIPP) regulations

Preference will be given to applicants with:

  • Experience supervising or leading teams, or coordinating and prioritizing the workload and work processes for a team of staff
  • Experience dealing with conflict and defusing difficult situations
  • Experience with computerized Student Information Systems and database programs, including InfoSilem, FAST and FAMIS, considered an asset
  • Experience creating procedural and/or training documentation; experience delivering training in a classroom setting and/or delivering on-the-job training required

  • Strong leadership skills and ability to oversee and direct the work of others; ability to work collaboratively with multiple stakeholders with competing priorities and demands
  • Ability to plan and initiate regular, prompt, and clear communication and consultation with staff balancing responsibilities and deadlines across multiple portfolios
  • Ability to work effectively both independently and within a team environment to attain desired work outcomes; ability to build and maintain healthy team morale
  • Excellent listening, written and verbal communications skills
  • Ability to consistently deliver a high level of customer service and communicate professionally; ability to handle complex and sensitive interactions, exercising initiative, good judgement, tact and empathy when dealing with situations involving emotional or stressful circumstances
  • Be socially and culturally responsive-proactive in seeking information about the social and cultural issues that contribute to UVic’s diversity.
  • Ability to respect confidentiality and maintain discretion with highly sensitive and confidential information

  • Ability to input data with a high degree of accuracy while managing frequent interruptions
  • Ability to foresee problems and outcomes, and plan to minimize unintended negative consequences
  • Ability to conduct research, analyze data and prepare reports, and make recommendations
  • Ability to work well in a team environment that requires collaboration and contribution from many sources

Specialized Knowledge/Education:

  • Post-secondary diploma or certificate in a related field. An equivalent combination of education, training and experience may be considered
  • Training or equivalent experience in dealing with conflict and defusing difficult situations considered an asset
