Your role involves providing administrative support to educational programs and initiatives, responding to faculty, staff, and students in a customer service-focused manner, and escalating issues as needed. Additionally, you will provide administrative support to the Vice Dean of Education as required.You will support both undergraduate and graduate programs by working closely with Course Directors and Graduate Program Directors in a dynamic, fast-paced environment. You will collaborate closely with other members of the Academic Administration and Clinic team, and work with the Student Services Team (SSO), Information & Instructional Technology Services (IITS), Central IT, Accessibility Services, and Academic Accommodations to ensure that courses, students, and faculty are well equipped and supported.Your responsibilities will include:
- Serving as the primary point of contact for general inquiries.
- Coordinating the recruitment and onboarding of course instructors, sessional lecturers, and stipend instructors.
- Collecting and submitting timesheet data for processing.
- Organizing logistical details and activities for events and programming.
- Supporting student assessments.
- Coordinating meeting schedules, agendas, materials, action items, and follow-ups.
- Gathering materials for accreditation and program reviews as required.
- Assisting faculty with course and clinic schedules.
- Regularly using Dentistry applications to handle administrative requests from faculty and other members.
- Handling fees or fines and issuing receipts on a limited basis.
- Managing expenses for events.
- Recording or verifying transactions on a single account.
- Ordering supplies with approval.
Qualifications:Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum two years of experience providing administrative support to educational programs and initiatives, working with faculty, staff and students.
- Demonstrated experience coordinating timetable schedules
- Experience providing front line customer/student service support
- Excellent written and oral communication and presentation skills
- Ability to be comfortable working independently and in a team environment, as well as the ability to work under pressure to meet deadlines
- Demonstrated initiative, accuracy and attention to detail
- Effective problem-solving, coordination and administrative skills
- Efficient time management and organizational skills including the ability to follow detailed instructions accurately, prioritize and deal with multiple tasks to ensure all deadlines are met.
- Excellent interpersonal skills and customer skills including the ability to effectively interact with students, faculty, and the general public
- Sound proficiency with Microsoft Office (including Word, Excel and PowerPoint), MS Teams, and Zoom

- Knowledge of dentistry is considered an asset.
