Learn more about our in our .Project Overview:Bechtel is seeking to recruit high quality project delivery professionals in Engineering, Construction, Project Controls and related disciplines to join our team in Canada.Bechtel is currently growing our team working on a variety of new transportation and infrastructure projects in the Provinces of Quebec and Ontario, Canada. Candidates are currently being sought in both Montreal, Quebec and Toronto, Ontario.Job Summary:In this role, you will perform administrative duties that require proficiency, accuracy, judgement, initiative, discretion, and knowledge of protocol. You will handle both routine and complicated items, such as coordinating travel, preparing expense reports, and composing correspondence. Your ability to anticipate problems and changing priorities will help bring efficiency and organization to your team.This job opportunity may be conditional, based upon the award of new projects and additional scope . #LI-KL1Major Responsibilities:
- Utilizes the project Content Management System (CMS) to register, control, distribute, transmit, file and archive project records.
- Supports the develop and implementation of the records retention and turnover plan and coordination of project close-out activities.
- Maintains effective communication with other project team members, client, and field personnel to ensure quality, schedule and budget are met as defined.
- Supports audits for quality assurance, internal technical reviews, client reviews, and ISO 9000, ISO 19650 audits.
- Maintains access to the Content Management System. As required, performs other tasks associated with CMS administration.
- Prepares routine documents, using standard word processing, spreadsheets, or other office software as needed to support work activities.
- Processes a high volume of change documents while maintaining configuration management requirements.
- Keeps abreast of department technologies, techniques, and services that are available.
- Provides technical guidance to project personnel in use of document management automated tools.
- Plans, organizes, and implements systems for efficient document processing, including design and supplier documents, communication, and the organization of record keeping.
- Trains personnel in the use of procedures and develops and/or implements procedures. Monitors work to ensure effective implementation of procedures and to ensure training records for administrative personnel are current.
- Compiles information, analyzes and prepares reports, and establishes metrics for document management activities.
- Performs / assists in other general administrative activities as required.
Education and Experience Requirements:
- A University Hire with 1-2 years of experience or 5-6 years of relevant work experience.
- Must be able to demonstrate intermediate proficiency using Microsoft Excel, Outlook, PowerPoint, and Word. Skills assessments may be administered to evaluate proficiency.
- Must have the right to work and remain in the Canada without visa sponsorship.
- Associate degree or related technical training preferred.
Required Knowledge, Skills, and Abilities:
- Demonstrated understanding of document lifecycles and document management systems including Aconex and SharePoint.
- Understanding of Information, Records and Document Control principles within a project environment.
- Ability to work with confidential information and records whilst maintaining discretion.
- Strong organizational skills and demonstrated effectiveness handling multiple tasks, setting priorities, managing timeframes and meeting deadlines under pressure.
- Good knowledge of research techniques, project systems and procedures.
- Good understanding of the processes of project management and the role of project client.
- Ability to work effectively as part of a team.
- Ability to communicate effectively with all levels of management and staff (verbal and written).
- Willing and able to work overtime with little to no notice when needed.
- Experience with ProjectWise and Aconex preferred.
