Position Name: Event Planner & Logistics ManagerLocations: Manassas, VAJob Type: Right to HirePlease reach out to me atResponsibilities:Complete Show Services Estimate (SEW) requests when received from Sales (this also includes estimating hotels, flights, parking, per diems, taxi/uber/rental car fees). {Expectation is typically for best services at lowest cost}Establish Deadlines for Order Submittal (Exhibitor Appointed Contractor (“EAC”), COI’s,Electrical, Internet, General Contractor orders, etc. Obtain Show kits when and where possible.Generate and Maintain Master Shipping Schedule. Seeking improvements in this area (i.e., we need a cumulative MASTER established with all active/planned shows)Solicit Shipping & Labor Quotes from ALL Vendors. Freight to AND from shows, sometimes transshipments are needed.Place Orders for all Services Required to Include Generating Purchase Orders and making CC Payment when neededFollow Up to Confirm Orders Received / Processed, just as purchasing department does for Museum projects.Track Logistics (Delivery, POD’s, Return Pick-ups from Shows, etc.) Receiving calls after hours at times (UPS, FedEx, DBA, United, KOL)Producing Show Summaries, Supervisor & Survival Kits (to include Summary, Drawings, Electrical Plan, Hanging Sign Plan) Completed Pre-Show, a template exists, contents are standard to all shows.Scan and Upload Documents to Inter-Office for Historical References. Done Post-Show (at your discretion), Reconciliation report variations are critical for Final invoicing to client.Reconcile and code show service invoices and expenses post-show to prepare for accurate billing to client.Coordinate and book all travel arrangements including hotels, airfare, car/truck rentals, prepare per diem travel/expense check requestsQualifications:Excellent organizational skills, including time management, multitasking and attention to detailStrong communication skillsAble to build and maintain business relationships with contacts, vendors and co-workersAbility to handle pressure and meet deadlinesAble to troubleshoot and resolve issuesExperience in tradeshows a PLUS.
