OverviewFixed Term Contract – 12 MonthHybrid working – 4 days a week office basedWe are seeking a highly organised and proactive individual to support executive team as an Executive Assistant. In this role, you will provide essential administrative support to the Chief Risk & Compliance Officer, who leads the Compliance and Risk function for our UK and EMEA businesses, the Chief Compliance Officer, the Chief Risk Officer and Head of Compliance.As a key member of our team, you will be responsible for maintaining utmost discretion and demonstrating excellent communication skills. Your primary focus will be on handling relationships with key internal and external stakeholders, ensuring their needs are met and expectations exceeded.To excel in this role, you must have a keen interest in our business and the strategic objectives we aim to achieve. You will play a pivotal role in supporting our team management and ensuring that all dependent activities are completed to a high standard, in line with stakeholder expectations and company values.
How you’ll make an impactAdministrative Support:

  • Manage the complex diaries for the Chief Risk & Compliance Officer, the Chief Compliance Officer, the Chief Risk Officer and the Head of Compliance, co-ordinate and prioritise appointments and requests across multiple time zones, delegate appropriate activities and ensure effective time management.
  • Collating packs for boards, committees, and general meetings and events.
  • Organising and scheduling travel for Chief Risk & Compliance Officer, the Chief Compliance Officer, the Chief Risk Officer and the Head of Compliance.

Communication and Coordination:

  • Act as a liaison between the Chief Risk & Compliance Officer, the Chief Compliance Officer, the Chief Risk Officer, the Head of Compliance and internal / external stakeholders, ensuring clear and concise communication.
  • Effective management of the Chief Risk & Compliance Officer’s email inbox, including prioritising matters for response, appropriate delegation, handling approvals, establishing and following filing and deletion conventions and establishing best practice, where needed.
  • Manage, draft and edit correspondence, board and committee reports, and legal documents, as required.

Information Management:

  • Maintain confidential information and documentation, ensuring appropriate accessibility and accuracy.

Meeting Preparation and Follow-up:

  • Prepare agendas, materials and presentations for meetings, ensuring the Chief Risk & Compliance Officer is well-prepared.
  • Track action items and follow up on deadlines, requests and commitments made.

Risk & Compliance Department Support:

  • Assist in the coordination of Risk & Compliance projects and initiatives.
  • Manage and maintain accurate team records (including office locations, structure chart).
  • Taking minutes in team meetings where requested and collecting / following-up on actions.
  • Providing guidance and on-boarding information to new team members (where needed).
  • Assisting with internal team communications including drafting and circulating on behalf of the Chief Risk Compliance Officer
  • Organise departmental events (including offsites, online updates, Christmas socials)

Document Review and Organisation:

  • Prepare first drafts of reports and presentations & lead required updates and amendments.
  • Review and proof-read documents for accuracy and completeness.

Special Projects:

  • Support special projects and assignments as directed by the Chief Risk & Compliance Officer.

About You

  • Successfully performed in EA/PA roles for C-level Executives in a corporate environment
  • Knowledge and experience of working with Legal teams (preferable)
  • Managed activities with Board/Committees (including close interaction with non-executive directors)
