Description We are offering a contract to hire employment opportunity for an Executive Assistant in Bronx, New York. The successful candidate will be responsible for providing comprehensive administrative support within our industry and will be based in our on-site location. You will manage a variety of tasks, including maintaining executive schedules, coordinating meetings, and handling confidential information with discretion.

Responsibilities:

• Oversee the management of executive schedules, including appointments and travel arrangements

• Coordinate and schedule meetings, conferences, and events

• Prepare, edit, and manage correspondence, communications, presentations, and other documents

• Assist in conducting research, compiling data, and preparing reports

• Handle confidential information with discretion and professionalism

• Support the engagement of the Board of Trustees, including scheduling, making travel arrangements, and preparing documentation

• Assist with project coordination and follow-up on action items

• Perform general clerical duties including photocopying, faxing, mailing, and filing

• Maintain up-to-date board-related records and policies in both digital and physical formats

• Support Main Office functions, as directed

• Manage and screen incoming correspondence and telephone calls for the Executive Director

• Manage expenses and reimbursements. Requirements • Minimum of 1 year experience in an Executive Assistant role or similar

• Proficient use of ADP – Financial Services software

• Experience with Cisco Webex Meetings for online communication and collaboration

• Familiarity with Concur for travel and expense management

• Knowledge of CRM (Customer Relationship Management) systems

• Experience with Kronos Timekeeping System for tracking work hours

• Proficiency in using About Time for project management

• Ability to manage multiple calendars effectively

• Strong communication skills for interacting with various stakeholders

• Experience in handling conference calls for internal and external communication

• Ability to manage and respond to correspondence effectively.
