The Opportunity:Company, Department: Emera Inc, Corporate OfficeLocation: Halifax, NSClosing Date: February 7, 2025We are looking for an Executive Assistant to join our Corporate Office. Reporting to the Director, Executive Administration, you will provide administrative support to the Chair and the Board of Directors, as well as providing ongoing support to the Office of the Emera CEO and Senior Executives.If you take pride in the quality of your work, excel at finding solutions, and enjoy occasional travel, this role could be the perfect fit for you! This role requires judgement, initiative, discretion, quality and independence. This position will appeal to energetic and highly organized administrative professionals who enjoy taking ownership of multiple tasks with multiple deadlines. Key elements of this role include::

  • You will be responsible for managing and maintaining board members’ calendars, including scheduling meetings, coordinating appointments, addressing scheduling conflicts, and ensuring timely communication of updates
  • Arranging and securing flights, hotels and other travel accommodations
  • Play an active role as a reliable and trusted coordinator of logistics to all board participants
  • Build and cultivate relationships with stakeholders for the Chair and the Board of Directors​
  • Prepare and submit accurate monthly expense reports, ensuring compliance with company policies and deadlines
  • Provide support for planning, coordinating and executing special and large-scale events, ensuring all logistical and operational details are managed effectively
  • Willingness and ability to travel as required for business needs

A level of professionalism will be expected given the interaction with Emera’s Board of Directors, Executives and senior external stakeholders. You are a high performer who strives to deliver more than is expected, can work effectively through change, and actively seeks new challenges. These skills will make you successful::

  • 3-5 years of experience working with a Board of Directors and/or board appointed committees or senior level executives
  • 10+ years of experience in a high-level administrative support position
  • Exceptional attention to detail with the ability to accurately manage complex tasks, review work for errors, and ensure very high-quality outcomes in a fast-paced environment
  • Exceptional communication and customer service skills are crucial
  • You bring a solution focused mindset; others would describe you as resourceful and someone who takes ownership
  • Strong organizational, prioritization and time management skills are a must
  • A natural aptitude for technology and a high level of proficiency with MS Office (Excel, Word, PowerPoint) and Outlook is essential. Experience with various software packages, including Oracle, PeopleSoft and Diligent are considered an asset
  • Proficient in using SharePoint for collaboration, document management and workflow administration. You will be responsible for managing permissions and leveraging SharePoint features to improve team efficiency
