It’s an opportunity to be part of something special.About the roleThis role serves as a key support to our Chief Digital & Tech Office, a Haleon Executive Leadership Team (C-Suite) member, providing two critical types of assistance:Executive Administrative Support: Enabling the HET member to perform at their highest level as a leader by managing day-to-day operations effectively and proactively.Functional Partnering: Collaborating with the D&T Leadership Team to ensure the smooth running of the digital and tech function, identifying and resolving issues proactively.This role requires 3-4 days per week in the office to facilitate the connection between the executive, their leadership team, and key business stakeholders.Key ResponsibilitiesPrimary Point of Contact: Act as the first point of contact for the HET member, both internally and externally, ensuring relationships are managed effectively and all communication is handled with professionalism.Business Understanding: Develop a strong grasp of business priorities, functional needs, and stakeholder dynamics to better anticipate the HET’s needs and drive key initiatives forward.Functional Operations Management:Coordinate functional meetings (scheduling, agenda setting, follow-ups), ensuring alignment with business priorities.Support financial management by tracking budget adherence, working with Finance Partners, and ensuring the HET and Leadership Team maintain financial discipline.Flag key priorities or risks with HR and Finance, and ensure they are escalated appropriately.Lead or participate in ad hoc projects, such as risk assessments or process improvement initiatives, to drive function-wide improvements.Ensure that the functional calendar is well-structured and coordinated with other business units, thoughtfully planning around critical milestones and competing priorities.Internal & External Communications:Draft and manage internal/external communications on behalf of the HET member (e.g., announcements, partnership with Communications teams).Maintain the HET’s external engagement calendar, coordinating with Global Communications for investor, media, or key external stakeholder interactions.Executive Administrative Support:Manage HET member’s calendar, balancing competing priorities, and ensuring optimal time allocation.Arrange detailed travel plans, including trip preparation and meeting briefs.Produce high-quality presentations and materials for key meetings, including Board and HET discussions.Plan meetings and events, collaborating with internal and external parties for logistics (visitors, catering, etc.).Handle expenses, invoices, and purchase orders efficiently, ensuring timely execution.Mentorship:Provide mentorship and guidance to other administrative staff within the function, helping build a cohesive and effective support system for the leadership team.Qualifications and skillsStrategic Business Insight: Proven ability to understand business strategy and align support efforts to business priorities, anticipating what the HET and the team need.Strong IT Competency: Advanced proficiency in Microsoft Office applications (PowerPoint, Excel, Word) and experience with project management and coordination tools. Ability to quickly learn and adapt to new technologies or systems to enhance efficiency.Continuous Learning Mindset: A demonstrated commitment to continuous improvement, staying curious about new technologies and tools, and adopting new methods to improve effectiveness and productivity.Business Acumen: Strong understanding of the broader business landscape, including familiarity with external stakeholders such as media, investors, and industry partners, and the ability to align support efforts to strategic business priorities.Proactive Problem-Solving: Demonstrated capacity to foresee issues, solve problems proactively, and drive solutions forward without guidance.Prioritization & Time Management: Proven ability to prioritize competing demands, balancing the needs of the CET and their leadership team while maintaining focus on business objectives and deadlines.Relationship Building: Capable of developing high-impact relationships internally and externally, navigating complex stakeholder environments.Strong Communication Skills: Able to deliver effective communication with high-level stakeholders, both written and verbal.Project Management: Skilled at managing complex projects from start to finish, with a strong eye for detail and timelines.Tenacity: Ability to maintain a solution-oriented mindset, even under pressure, driving results and following through on tasks until completion.Discretion & Confidentiality: Experienced in handling confidential information at senior levels, including board and external engagements.Organizational Agility: Ability to manage competing demands and tight deadlines while maintaining a high level of attention to detail.Preferred QualificationsExperience working in a fast-paced, digital or technology environment, with exposure to tech-driven transformation initiatives.Leadership or mentorship experience with administrative teams, helping to elevate their performance and effectiveness.Please save a copy of the job description, as this may be helpful to refer to once the advert closes.Care to join us.
