  • Accueillir, aider et orienter les candidats / les employés nouvellement embauchés / les visiteurs et le grand public vers le membre du personnel approprié.
  • Recevoir, orienter et transmettre les appels téléphoniques, les courriels et autres demandes.
  • Gérer les places de stationnement pour les visiteurs et les employés.
  • Organiser les taxis pour le personnel client et les visiteurs selon les demandes. Réserver les salles de réunion sur site et prévoir les services d’hospitalité conformément aux demandes du client et aux procédures du site.

HSE, sécurité et qualité :

  • Liaison avec le gestionnaire du site et la sécurité sur place.
  • Faire preuve en permanence d’une grande conscience de la sécurité, de connaissances en matière de procédures d’évacuation d’urgence, de procédures pour les visites des autorités locales ainsi que de bonnes pratiques en matière de santé et sécurité.
  • Émission des badges d’identification et d’accès pour les nouveaux employés, les fournisseurs et les visiteurs, et tenue d’un registre des mêmes.
  • Contrôler et maintenir les stocks de fournitures de bureau et de badges conformément aux niveaux convenus.
  • Tenir le registre des arrivées et des départs du site.
  • Procéder à l’intégration des nouveaux employés sur le site, et être la première ligne de soutien pour toute préoccupation découlant de l’évaluation en ligne des postes de travail. Comprendre et soutenir activement le programme de gestion de la qualité de JLL.

Opérations du site :

  • Agir en tant que principal point de contact sur place pour le personnel de la poste et les parties prenantes du client en l’absence du responsable des installations.
  • Effectuer des vérifications quotidiennes des salles de réunion et des bureaux selon les besoins du responsable des installations.
  • Préparer et servir des boissons chaudes, disposer et ranger la restauration selon les besoins.
  • Gérer toutes les demandes sur le bureau d’assistance des installations et communiquer avec les prestataires de services.
  • Gérer/assister aux demandes d’envoi et de réception de courrier selon les procédures existantes.
  • Aider à coordonner la réparation et la maintenance de l’équipement de bureau et à passer des commandes de fournitures de bureau.
  • Maintenir des enregistrements précis et à jour du plan de places assises.
  • Veiller à ce qu’une passation précise et détaillée soit prévue et effectuée (pour les tâches relevant de la responsabilité) en cas d’absence de l’entreprise.

Compétences et expérience requises

  • Capacité à travailler en équipe et à faire preuve d’initiative.
  • Capacité à s’adapter à un environnement rapide et exigeant.
  • Un excellent communicateur, à l’oral et à l’écrit. La maîtrise de l’anglais est essentielle.
  • Compétences avancées dans Outlook, Word et Excel sont essentielles.
  • Une expérience antérieure dans le domaine des installations, de la gestion immobilière, de l’hôtellerie ou d’un domaine connexe est préférée.

Role SummaryIn this role you will be responsible for providing support to the Manager, to ensure facilities services are delivered in an effective and efficient manner and site Key Performance Indicators (KPI’s) and Service Level Agreements (SLA’s) are met. This role would be ideally suited to someone who is able to demonstrate a high levels of customer service, security & safety awareness at all times.ResponsibilitiesCustomer Service:

  • Greet, assist and direct candidates/new hires/visitors and the general public to the appropriate staff member.
  • Receive, direct and relay telephone, email and other queries.
  • Administration of parking spaces for visitors and employees.
  • Arrange taxis for client staff and visitors as requested.
  • Book onsite meeting rooms and hospitality as per client requests and according to site procedures.

HSE, Security & Quality:

  • Liaise with site managing agent and site security.
  • Demonstrate permanent high level of security awareness, knowledge of emergency evacuation procedures, procedures for visits from local authorities as well as general Health & Safety.
  • Issuing of ID and access badges for new hires/vendors/visitors and maintaining record of same.
  • Monitor and maintain office and badge consumables in line within agreed stock levels.
  • Maintain the security sign-in book
  • Carry out site induction, for new starters, act as the first line of support for any concerns raised as a result of online DSE assessment.
  • Understand & actively support JLL’s Quality Management program.

Site Operations:

  • Acts as an onsite key point of contact for Post staff and client stakeholders in the absence of the Facilities Manager.
  • Conduct daily meeting room and office checks as required by Facilities Manager.
  • Prepare & serve hot beverages, layout & clear away catering as required.
  • Manage all the requests on the Facilities helpdesk and liaise with service providers.
  • Handle/Assist with incoming and outgoing mail enquiries according to the existing procedures.
  • Assist in coordinating the repair and maintenance of office equipment and in the ordering in of office supplies.
  • Keep accurate and update records of seating plan.
  • Ensure accurate and detailed hand over is planned & passed on (for tasks for within responsibility), if absent from the business.

Skills & Experience Required

  • Able to work within a team and use initiative.
  • Able to adapt to a fast pace and demanding environment.
  • An excellent communicator, both verbal and written. English is essential.
  • Proficiency in Outlook, Word and Excel is essential.
  • Prior experience in facilities, property management, hospitality or related field is preferred.
