Job DescriptionGeneral Summary:The Facilities Operations Manager is responsible for overseeing facilities operations across the International region, including the London International Headquarters (IHQ) & 12 offices in Europe, the Middle East and Australia. Reporting to the Director of Facilities Operations, the role forms part of the Global Operations team.The role has management responsibilities and oversight for facilities and workplace services including the health and safety of the group’s activities, ensuring that sites run safely and with optimal efficiency. This role holder should demonstrate excellent administration, communication and customer service skills across all levels of the organisation, driving and assisting the successful completion of corporate, department and functional goals. The position is designated onsite at the Paddington office and will be required to travel regularly to other international sites.Key Responsibilities:Operational oversight and decision-making for IHQ office space and site services.Oversees IHQ workplace services. Includes management of office services, cleaning, utilities, events and space planning.Directs activities of the relevant teams to ensure resources are appropriately allocated and services are implemented and well-coordinated.Proactively provides guidance to site support teams and outsourced providers, ensuring that services best align with department & site objectives.Ensures department procedures and site licenses/requirements are up to date and in line with statutory obligations. Participate in the development of new procedures that affect the facilities.Coordinates with other areas of the business to drive and support improvement initiatives across the offices in scope (e.g. Real Estate, EHSS, Facilities Engineering & Compliance, Strategic Sourcing etc.)International offices (Europe, Middle East, Australia):Oversee Facilities Operations activities and service provisions at sites outside UK via the appointed FM service provider. Act as FM point of contact for International Country Managers and local admins/office support. Provide direction to the FM principal contractor to ensure all services are delivered and sites run efficiently e.g. hard and soft services; maintenance, electrical, air conditioning, plumbing, cleaning, plants and other essential facilities/equipment.General – UK & International:Support for projects including construction and refurbishment, office modifications and operational readiness for new RE projects. Acts as lead and POC for management in areas of responsibility and liaison for landlord and property management teams, liaising as required to ensure main building systems and common areas are maintained as per lease agreements. Ensure management of the ServiceNow facilities help desk tickets and work to resolve relevant tickets to ensure the highest possible service levels, liaising with the team and Helpdesk Co-Ordinator where required. Ensure asset register is maintained for each location Proactively evaluates and optimizes services for maximum quality, cost-effectiveness, and customer satisfaction and monitors key vendors through KPIs and management of service agreements. Support capital and operating budget creation, financial planning, and monitor spending against forecast end accruals. Interacts closely with Global Ops functions (Facilities, EHSS, Corp. Security, Real Estate and PMO) sharing best practices, promoting innovation and recommending improvements.Management of team administrative duties such as raising purchase requisitions, invoice verification, filing, scanning and archiving ensuring this aligns to company requirements. Use of systems such as ServiceNow (Helpdesk), vShip (Courier) & Coupa (Purchasing/ Invoicing). Other duties as required by the line manager/leadership, including cover for Facilities Operations team where needed. Liaise with line management to respond appropriately to emergencies or urgent issues as they arise, including attending relevant offices as required reporting all operational and risk issues. May be required to be on-call or attend/supervise out-of-hours works.Environment, Safety & SecurityResponsible for the health & safety compliance for all areas of responsibility, liaising with others as required and supporting compliance audits. Ensures safety checks, SOPs and risk assessments are created, reviewed and adhered to, corrective actions are completed and documentation and training records are on file. Ensuring all H&S documentation is on file, up to date and correctly filed. Participate as part of the operations emergency response team, including assisting the evacuation process. Participate as part of the operations BCP team and support any incidents. Contributes to the Environmental Management Program. Assists with establishing new initiatives to increase awareness and Vertex’s commitment to environmental sustainability.TECHNICAL, MANAGERIAL AND COMMUNICATIVE SKILLS:Displays excellent organisational leadership qualities, developing, and motivating teams and driving results efficiently. Strong communication skills at all levels including project teams, key stakeholders and senior management. Good awareness of health, safety and environmental legislation relevant to the role. Reliability and strong independent judgment to make decisions, respond quickly in emergencies and adapt to meet deadlines in a fast-paced environment. Good technical knowledge of products and services and ability to launch new initiatives. Collaborative nature with proven ability for excellent customer service and achieving buy-in from other functional groups.Education and Experience:
