SUMMARY

This is customer service and parts storeroom support work.

Positions allocated to this classification report to a designated supervisor and work under limited supervision. Work in this class is distinguished from other classes by its emphasis on customer service, clerical, and inventory control responsibilities within the Fleet Division.

ESSENTIAL JOB FUNCTIONS

Receives, stores, issues, and records parts, supplies, and tools.

Orders and issues materials, including tools, parts, and automotive materials. Submits periodic and special requisitions and perpetual inventory records.

Maintains stock room records including partial receiving reports, purchase requisitions, and perpetual inventory records.

Inspects merchandise received as to quality and quantity in compliance with established standards.

Checks daily inventory transactions for errors and makes necessary adjustments to inventory.

Inventories merchandise to maintain inventory control and performs necessary adjustments upon supervisor’s approval.

May notify vendor(s) when shipments have been delayed and confirms date and time materials will be shipped.

Operates equipment necessary for handling and storing material items.

Checks into the garage vehicles and equipment needing maintenance and/or repair.

Processes work orders by making relevant notes and distributing them to the appropriate team.

Maintains Vehicle/Equipment Status Board by reviewing work orders for completion to provide customers with periodic status reports.

Maintains preventative maintenance calendars.

Answers phones and responds to inquiries.

Handles road call information, advising the appropriate team.

Coordinates the disposition of vehicles and equipment including their delivery, transfer, and retirement.

Informs customers when maintenance/repair work is completed and that the vehicle or equipment is ready to be picked up.

Reviews work orders for accuracy and completeness and closes out those completed.

Maintains vehicle and equipment files.

Attends work on continuous and regular basis.

NON-ESSENTIAL JOB FUNCTIONS

Types correspondence.

Coordinates feedback mechanisms with customers.

May write purchase requisitions for inventory maintenance.

Performs routine cleaning of office and storeroom areas.

May input daily transactions and receipts of merchandise into Fleet Management Information system.

May distribute monthly reports to various departments.

Performs other related duties as assigned.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential job function satisfactorily. Below are the required education, experience, knowledge, skills and abilities to perform the essential functions.

EDUCATION AND EXPERIENCE

Graduation from high school or possession of an acceptable equivalency diploma, and three years of experience in an automotive or truck parts store or warehouse performing vehicle parts servicing, including experience stocking, receiving and inventorying parts and related equipment.

CERTIFICATIONS OR LICENSES

Licenses

Valid Florida Driver License required.

Certifications

Certified by Automotive Service Excellence (ASE) as a P1 – Medium to Heavy Truck Parts Specialist and P2 – Automobile Parts Specialists is highly desirable.

KNOWLEDGE, SKILLS AND ABILITIES

Considerable knowledge of inventory control methods and procedures used in receipt, storage, handling, and control of automotive parts, tools, and supplies.

Considerable knowledge of office terminology, procedures, routines, and equipment.

Knowledge of arithmetical computations and ability to perform computations quickly and accurately.

Knowledge of computers and relevant fleet management software.

Ability to prepare reports and maintain records.

Ability to work with personal computers and work orders tracking software.

Ability to safely operate forklift to load, unload and move materials.

Ability to work effectively with vendors, co-workers, and the general public.

Ability to communicate effectively, both orally and in writing.

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS

To perform this job successfully, an individual must possess certain physical abilities and be able to withstand work related environmental conditions.

PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee is often required to sit for prolonged periods of time. 

May occasionally lift objects up to 75 pounds. 

May occasionally crawl, stand, walk, sit, listen, talk, use hands, drive, bend, climb, squat, push/pull while seated or standing, and reach above shoulder level.

WORK ENVIRONMENT

The work environment involves moderate risks or discomforts associated with vehicle/equipment maintenance. These include working in extreme temperatures, working around potentially dangerous equipment, moving parts, carts or machines, working around grease and oil, and so forth. 

May be exposed to a variety of irritant chemicals, lubricants, and exhaust fumes. 

May be required to use protective clothing or gear as necessary to minimize risks of personal injury.

May require performance of tasks outdoors under varying climatic conditions.
