This role involves working closely with our customers, the Flight Data Administration, Customer Stakeholder Services, and Accounts Receivable departments to resolve billing issues and provide exceptional customer service. Key Accountabilities:
- Manage multiple workstreams accurately, ensuring they shift priorities to meet upcoming deadlines.
- Process invoice-related data and financial transactions using billing software and third-party databases.
- Offer assistance and act as a point of contact for customers seeking guidance on administrative flight billing processes, procedures, policies, and requirements.
- Ensure the accuracy of customer account data in both the ERP and Billing systems by creating and validating account information and conducting regular maintenance.
- Identify and resolve national and international unknown ownership customers for billing, data error correction, or adjustments, including missing registration reports, and ensure data information for accuracy.
- Review and complete peer-to-peer quality assurance reviews of less complex cases assessed at a medium or lower category to ensure completeness and accuracy when needed.
- Complete data entry, review, and verify the accuracy of billing data, including small general aviation customers to large airline fleet information, daily flight data files, and other financial information
- Work with customers and other NAV CANADA stakeholders to resolve billing issues and provide exceptional customer service.
- Monitor customer accounts to ensure accurate and up-to-date information.
- Plays a role in collecting, consolidating, and analyzing monthly invoices, proactively identifying anomalies, discrepancies, and potential issues. Collaborates with management to recommend solutions and support data analysis initiatives.
Job RequirementsEducation:
- Completion of secondary school and a college diploma in a business-related discipline or
equivalent business experienceExperience:
- Experience working in fast-paced environments, managing multiple tasks and deadlines, and have developed strong time management skills.
- Experience working in billing, accounting, or finance roles where meeting tight deadlines is critical would be beneficial.
- Experience in data analysis or reporting. I.e. experience with financial reporting and working with large data sets would also be beneficial.
- Experience and Knowledge in the use of office computer software applications and reporting tools such as the Microsoft Outlook, Word, Excel
- Relevant work experience in accounting or finance would be considered an asset. This could include experience working in accounts payable, accounts receivable, or billing roles.
Knowledge:
- Knowledge of NAV CANADA’s complex charging system and all charges set out in the Customer Guide to Charges.
- A Flight Billing Specialist must be capable and proficient with four complex systems used at NAV CANADA. A high level of knowledge of the Billing Solution, knowledge and understanding of Customer Management in Workday, customer case management in NetSuite, and querying and investigation in the Flight Billing System.
- Knowledge of billing and invoicing procedures.
- A fundamental knowledge of accounting principles is important for a Flight Billing Specialist
- Industry-specific knowledge related to billing procedures, terminology, and practices within the aviation industry.
- The work requires considerable knowledge of third-party database researching tools used to find owner/operators of aircraft.
Abilities:
- Ability to operate multiple custom solutions to complete task, including the Billing System, Flight Data information System, Enterprise Resource Planning system, and Customer case management system.
- Ability to effectively prioritize, plan, and execute tasks/projects.
- Ability to analyze situations and identify and resolve problems in a complex environment with a keen eye for detail to ensure accuracy.
- Attention to detail, such as data entry or quality control.
- Previous customer service or client-facing roles. Ability to work in a team environment and collaborating with others to solve problems.
Personal Suitability:
- Effective communication skills are crucial for a Flight Billing Specialist to interact with customers, and internal stakeholders.
- Analytical skills are valuable for a Flight Billing Specialist. Able to analyze billing data, identify discrepancies or errors, and reconcile accounts accurately.

- Ability to effectively make decisions in a complex work environment.
