Job Description:Metrolinx is connecting communities across the Greater Golden Horseshoe. Metrolinx operates GO Transit and UP Express, as well as the PRESTO fare payment system. The ITAM Inventory Control Analyst will also develop and make recommendations to improve procedures for tracking company IT assets to oversee quality control throughout the assets lifecycles. Contribute in enhancing existing IT asset Management processes to monitor and update IT Policies, procedures and standards on a periodic basis. The ITAM Inventory Control Analyst will report directly to the ITAM SupervisorWhat will I be doing?Functional/Technical

  • Provide input into the company’s inventory management strategy with the aim of controlling costs within budgetary limits, generating savings, rationalizing inventory, and maximizing available working capital. Responsible for reporting on the progress of inventory reduction initiatives and championing inventory issues across several functional units,
  • Gather data on IT assets and provide analysis of all activities that have an impact on the value, cost and risk of digital technology asset life cycles,
  • Develop third party relationship for disposal of Metrolinx assets as well as wiping / removing any residual data remnants while meeting approved security standards. Utilizing a third party for any additional inventory storage requirements (staging, receiving, shipping, inventory racks / storage area in a secure controlled environment)
  • Managing inventory items, controlling day-to-day inventory operations, and implementing inventory control protocols. Engages other departments (that stock IT assets) within the organization to ensure that centralized processes and procedures are being followed and associated reporting is provided to enable consolidated reporting for IT Inventory assets and consumables. Ensure incoming product is receipted and managed appropriately according to company procedure.
  • Reviews processes and or procedures for any automation enablement to reduce effort, process time and or improve inventory accuracy. Scrutinize and analyze inventory issues and apply LEAN methods to prepare recommendations for policy/process improvements related to inventory tracking and accuracy. Involves collaborating with other departments and directing cross functional meeting with stakeholders
  • Provides requested performance metrics and provides recommendations on reporting tools, to establish ad-hoc reporting to enhance department efficiency
  • Works closely with the ITAM Ordering & Contract Coordinator to ensure that all procurement requirements are processed in a timely manner to meet business needs. Ensure that any products that are late or holding up production for whatever reason are chased and followed up until received.
  • Ensure works orders (Service Now requests) are correct and fully completed and that all IT assets has been allocated correctly based on the information in the Service Now request (with appropriate costs centers). Works closely with Infrastructure, Project, EUC Stakeholders to clarify / determine and fulfil their IT asset requirements (use of Service Now for all requests)
  • Responsible for several activities, including resolving errors on inventory transactions, maintaining system accuracy for all inventories including 3rd party and managing adjustments and scraps according to guidelines established by the finance unit. It also involves serving as the connection between finance and operations teams to compare forecast versus actual performance and communicate progress, risks, and impacts to annual inventory goals.
  • Provide finance with the data to support the analysis of digital technology asset project and maintenance budgets and business cases.

Customer/Stakeholder

  • I&IT Operations to: support I&IT with ITAM reports / asset information
  • Metrolinx business units to: identify/assess their business requirements and their IT asset (hardware or consumable) needs and usage requirements and support IT asset management throughout its life cycle;
  • Legal Department to: clarify contract terms;
  • External vendors to: coordinate product specification clarifications; work with the ITAM Ordering & Contract Coordinator to ensure the best possible pricing is being leveraged; provide input to ITAM Ordering & Contract Coordinator based on review of product specifications, terms & conditions, upgrades, warranties, support models for any operational or compliance impacts;

Operational Excellence

  • Ensures IT assets acquisition are compliant with existing agreements;
  • Contributes to the establishment and implementation of ITAM policies, processes and procedures to support the IT asset lifecycle;
  • Performs analysis and makes recommendations on opportunities for IT asset optimization and leveraging best possible asset situations;

Financial StewardshipProvides input to the ITAM Ordering & Contract Coordinator for review of contracts and to identify savings opportunities for renewals (e.g. volume discounts), to maximize value for money and minimize cost for hardware, maintenance and service offerings;Contributes to the planning and development of the annual IT Asset Management budget and makes recommendations, within the department’s renewal and acquisition budget and established policies and procedures;People Leadership

  • Acts as a resource to management and Metrolinx business units in providing subject matter expertise related to the lifecycle planning of hardware, including making recommendations on the acquisition, renewal, compliance and costing of hardware used across the organization;
  • Models Metrolinx’s values and core competences, especially in dealings with external partners and in the handling of sensitive and confidential information;

What Skills and Qualifications Do I Need?

  • Education Completion of a or diploma in Logistics, Supply Chain, Business, Finance, or Engineering, or a related discipline – or a combination of education, training and experience deemed equivalent
  • Experience Minimum 4 years direct work experience in IT asset management capacity encompassing related experience in inventory control analyst warehousing, logistics, manufacturing or distribution, and customer service.
  • Certifications or Designations: Certified Software Management Professional and/or Certified Hardware Asset Management Professional through IBSMA, SIIA, IAITAM, or BSA. Is an asset
  • Experience and have advanced knowledge of Excel and data mining, ability to translate data into conclusions or actions for improvement, and experience with process improvement or LEAN methods.
  • Experience and in-depth knowledge in Microsoft Office applications especially and advanced Excel skills, including Macros, Filters, V-Lookups, Pivot Tables, etc.
  • In-depth skills and proven communication on skills: communicate both verbally and in writing. It is essential for establishing work relationship and executing the tasks in their job descriptions.
  • Experience and proven Problem-solving skills and attention to detail: Inventory control analysts are responsible for spotting areas for process improvements or issues with adverse effect on inventory management; so it is important that applicants for the role have the mental, creative, and analytical capability to identify problems and proffer solutions
  • Detail-oriented individuals to help maximize inventory accuracy with minimal adjustments.
  • Ideally possessing a relevant professional qualification and/or suitable background experience in inventory management / purchasing
  • Have a detailed understanding of MRP and inventory control / management systems and ERP.
  • Strong analytical and problem-solving skills.
  • Experience of lean manufacture, kanban and kaizen continuous improvement or similar production tools within a low volume, high quality manufacturing facility would be an advantage.
  • Possess excellent verbal and written communication skills for a demanding and customer focused working environment.
  • Possess excellent personal organization and business administration skills in accordance with modern best practice methods.
  • Possess the ability to work productively, efficiently & effectively with initiative and drive under tight timescales and pressure whilst maintaining attention to detail and quality.
  • Possess the willingness to learn, improve and adapt.
  • Possess relevant IT skills in basic MS Office applications – outlook, excel & word in particular and a working knowledge or business ERP systems
