The successful candidate will be responsible for the management of the business as usual investment operations process, investment execution, reporting and administration for the Investment Business. Main responsibilities include:Team Management
- Responsible for the management of the Investment Operations team and their business as usual workflows.
- Career development for the team and provision guidance on their approach to undertaking the role.
- Conduct appraisals and set objectives in-line with the group process.
- Leading on the hiring for new members for the team where required.
Investment Execution
- Follow through on investment decisions ensuring accurate and timely execution by brokers and custodians on a wide variety of investment products.
- Monitor and manage collateral and margin limits for derivatives positions and ensure that those same positions are rolled in an efficient manner.
- Ensure that pre-trade compliance is adhered to and can be evidenced.
- Manage transactions during the life of an investment, such as capital calls and distributions from funds.
- Arrange all investment paperwork, e.g. application forms, KYC documentation and assisting with obtaining Director signatures for investment instructions.
- Liaise with the custodians to clarify investment subscription and cash settlement deadlines. This involves detailed planning and ensuring that settlement dates are aligned across multiple products.
- Collate and review contract notes received directly from fund’s administrator and/or custodians.
- Ensure that the trading process has been completed as per process and collate evidence for audit.
Investment Performance
- Prepare standard monthly performance reports including collation of external investment manager reports and valuation statements.
- Prepare quarterly performance reports, updating IRRs and multiples for illiquid funds.
- Reconcile performance reports to custodian statements and management accounts.
- Collate capital call/distribution notices and update illiquid funds records. Reconcile outstanding commitments and capital call amounts to the actual notices.
- Liaise with the Treasury team for monthly reconciliation of cash flows to investment movements.
- Prepare ad-hoc performance analyses including asset class attribution and external benchmark comparisons.
Custodian management
- Liaise with custodians to ensure the provision of timely and accurate data on the investments, including valuations.
- Assist in the management of relationship with the custodians, including monitoring performance against SLAs.
- Review data input in the custodians’ custody/reporting system.
- Reconcile fees charged by the custodians (both quarterly management fees and transaction fees).
Company secretarial
- Act as company secretary for WL board meetings relating to investments, including preparation of minutes.
Other
- Liaise with members of the CFO team, auditors and administrators for the year end audit.
- Assist the Head of Investment Operations supervise and manage the team’s tasks and key workflows.
- Support the CIO and Head of Investment Operations in risk monitoring for internal audit, including use of portfolio and risk management software.
- Liaise with Head of Internal Audit and external auditors to support internal audit of investment activities.
- Investment-related projects as required.
Financial reporting
- Liaise with WHPL’s fund accountant to ensure the provision of timely and accurate accounting information on the Investment Business.
- Prepare team budgets and manage the submission to WHPL’s Finance team.
- Liaise with WHPL tax team to support information needed for group tax returns.
Reporting line
- Position reports to the Head of Investment Operations.
- Line Management of two members of the Investment Operations team.
RequirementsExperience
- The candidate should have at least seven years in a similar role within asset management or wealth and will have proven experience in managing trade life cycles and contributing to significant projects.
- They can lead a team and help develop the careers of junior members.
- The ideal candidate will have experience of working with multiple custodians and will have experience of instructing, managing and reporting on derivatives positions.
- The Investment Business uses NASDAQ Solovis as a portfolio management system: experience with Solovis is helpful, but not essential.
- Knowledge of private market funds is desirable.
