As a progressive and vibrant healthcare organization, we are committed to being an innovative center of excellence in community hospital care.Job DescriptionPOSITION OVERVIEW: This position is responsible for providing comprehensive support, with a high degree of confidentiality, discretion and judgment, to the General Counsel’s Office, including the General Counsel & Chief Legal, Risk and Privacy Officer, and with administrative services in support of the Halton Healthcare’s legal, governance, institutional risk management and privacy functions. This position provides additional support to the Board Liaison and Information Access and Privacy Coordinator.This is what you’ll be doing:

  • Overall management of the General Counsel’s office ensuring it runs in an effective, productive and professional manner.
  • Submit legal documentation to external agencies on behalf of the General Counsel.
  • Prepare presentations, communications, memos, organization-wide emails, documents, reports, contracts and any other materials required by the General Counsel.
  • Design and maintain electronic and physical filing systems and databases that permit easy reference and rapid analysis and retrieval of information.
  • Develop and maintain a positive and professional relationship with all internal and external stakeholders.
  • Receiving, reviewing and coordinating payment with appropriate departments for legal-related invoices.
  • Providing constant attention to the General Counsel’s schedule to ensure accuracy of time, location, directions and meeting materials and confirming attendees.
  • Act as recording secretary for meetings as required, assisting with the collection and follow up of items, organizing meetings, and preparing and distributing agendas and minutes.
  • Responding verbally or in writing to inquiries on general or sensitive issues from internal or external individuals or groups on behalf of the General Counsel.
  • Annual and other regular corporate filings associated with Halton Healthcare legal entities.
  • Assisting as required with the Board Coordinator, Communications team, and office of the President and CEO on Board-related special events.
  • Provide support for the Privacy Office by assisting the Information Access & Privacy Coordinator in regular auditing for privacy compliance purposes and other activities as needed.
  • Other duties as assigned by the General Counsel.

Qualifications

  • College Diploma as a Law Clerk or Paralegal
  • Ten years’ experience in a similar role in a corporate legal department.
  • Experience working in the Ontario broader public sector is preferred
  • Highly skilled in electronic record keeping.
  • Receptive to innovative applications and software solutions.
  • Meticulous with strong attention to detail
  • Proven time management skills with the ability to prioritize work to meet deadlines.
  • Ability to communicate in a clear, concise, professional and tactful manner.
  • Ability to solve problems using critical thinking and analysis.
  • Self-management and the ability to build and maintain relationships and networks.
  • Demonstrated planning, project management and logistical skills.
  • Impeccable ability to maintain confidentiality and discretion.
  • Excellent calendar management skills.
  • Ability to multi-task and shift priorities.
