The Role:

You will process applications received from the air travel industry, such as applications for the grant, variation or renewal of Airline Licenses and Foreign Carrier Permits This work involves checking applications for completeness, recording and saving information on appropriate Civil Aviation Authority (CAA) systems and databases, checking information received against pre-defined criteria, assisting colleagues and managers with the assessment of applications and preparing correspondence to stakeholders.

You will:

  • Maintain up-to-date information on databases and monitoring the completeness and accuracy of the data.
  • Produce and distribute internal management information to support efficiency departmental processes and decisions.
  • Chase applicants, license holders or other stakeholders for information such as insurance details, trading or financial reports or other data they are required to provide to the CAA or that the authority seeks to obtain in pursuit of its regulatory function.
  • Log and review information provided by stakeholders for compliance against regulatory license conditions, escalate issues where applicable in a timely manner.
  • Assist colleagues with research on the airline and travel industries, including online research and the preparation of findings and results.
  • Respond to phone calls and emails from the industry and consumers and provide guidance and advice, seeking input from line managers where appropriate.
  • Provide support to colleagues and managers for meetings including arranging internal/external meetings or external visits, collating and circulating briefing material, taking notes, writing minutes and ensuring action points are followed up by meeting attendees.
  • Stakeholder liaison – internally these include colleagues across the organization and with Government departments such as the Department for Transport and UK Border Force, license holders and advisers to the Department.
  • Supporting the ATOL Crisis Management Department with the administration relating to the failure of large ATOL holders.
  • Take responsibility for organising and prioritising their own workload in association with others in the team, where necessary, encourage managers to provide the required sign off for licenses in a timely manner to ensure that targets or deadlines are met.
  • Learn and maintain good working knowledge of current travel related regulations, particularly the Airline Licensing & ATOL Regulations
  • Aid in managing projects as guided by the accountable manager.

ABOUT YOU:

You will have an understanding of the air travel , aviation and aerospace industry, and be informed about Travel related regulations, along with knowledge of accounts Strategy & Delivery

Essential Criteria:

  • Able to communicate effectively both internally and externally.
  • Confidently manage your assign work and projects, coordinate with the team effectively, whilst maintaining quality and accuracy despite multiple priorities that you may be working on simultaneously.
  • Self-reliance and ability to take initiative and confidently able to identify when to refer to others.
  • Broad and good level of IT skills, including Outlook, CRM, Word, Excel and PowerPoint, and able to learn and utilise bespoke systems
  • Confidently able to understand numerical data, keep records, track data and drafting related reports.
  • Shares skills and information with colleagues to improve performance and delivery of team goals. Involves others in discussions, listens to and considers others’ viewpoints.
  • Communicates in a way that is clearly understood, credible and persuasive in style and, where required, approaches sensitive issues in a considerate and straightforward way.
  • Able to succinctly explain the key facts on familiar subjects in a convincing and engaging way, seeking further guidance when required.
  • Seeks to identify potential problems and risks, gathers information and analyses before considering options, ensuring other interested parties are kept informed of progress.
  • Develops a well thought through plan of action, seeking input from others where and when appropriate.
  • Remains open to challenge and is willing to learn.
  • Takes time to understand stakeholders and their needs and considers the impact of decisions on stakeholders.
  • Sets goals for self and, where required, others to promote and improve the quality of service provided to stakeholders.

Relocation & Property – The CAA will be relocating from Aviation House, Our Gatwick/Crawley Office. We are currently working to understand our needs before we start our property search, which is expected to be within a 15mile radius of our current base, but we do not expect to move before 2028.
