We have 14 divisions that work collaboratively in a multi-disciplinary, multicultural, and ethnically diverse collegial environment.Position SummaryA Medical Education Program Coordinator is a strong Administrative Professional who supports the training of future physicians through developing, coordinating, and maintaining the support of medical education administration.Under the administrative supervision of the Team Lead of Medical Education, this position requires a collaborative, proactive individual capable of working autonomously in a team environment. In the Medical Education Business Unit team environment, we value administrative professionals who share knowledge and skills, contribute ideas, and provide recommendations for solutions. Supporting special projects, internal and external accreditation, events, workshops, and resident recruitment, the Coordinator raises the profile of Medical Education at the University of Alberta.The Medical Education Program Coordinator must have a detailed working knowledge of the requirements of their education programs and possess excellent interpersonal, problem-solving, and multi-tasking skills. Flexibility and adaptability are important skills as the coordinator will take directions from multiple sources. The Coordinator also provides administrative support for the educational program technology platforms such as Canvas, webEval, and MedSis. - Program Administration
- Scheduling Rotations
- Distribute and manage learner’s evaluations
- Acts under the model of Competence By Design in liaison with the Post Graduate Medical Education and Royal College CBME in meetings
- Provides administrative support to meetings by scheduling, preparing agendas, taking minutes, and action items
- Drafts letters, memos, reports, and documents
- Support the examination process, including notifying residents of deadlines, setting up examination stations, and proctoring written exams
- Participates and contributes to public relations initiatives for Medical Education
- Assists in the annual onboarding of residents
- Engages with the delivery of Education Activities related to research and the Royal College curriculum initiatives for the residency program
- Financial administration of the programs including the administration of awards and grants
- Acts as a primary contact for the Accreditation process for Internal and External reviews
- Ensures quality standards are maintained at all times
- Supports the Recruitment of Residents in:
- Canadian Medical Graduate Selection process as a primary contact for the Canadian Residency Matching Service (CaRMS);
- a resource and contact person for the Sponsored Trainee Candidate Selection Process.
- Creates updates to the Program Coordinator’s Manual
- Office administration team duties include providing backup for other coordinators who are on vacation or other leave.
Qualifications
- A diploma in business administration or office administration certificate; a postsecondary degree in a relevant discipline is preferred. An equivalent combination of education and experience will be considered.
- 3-5 years of experience in a medical and academic environment with extensive involvement in postsecondary educational procedures at an administrative level
- Computer proficiency with:
- MS Excel and MS Powerpoint,
- Google Apps Gmail, Drive, Sites, Google Meets, and Calendar
- one45, DASH.med, cbme.med,
- Zoom
- Familiarity with Canvas and various other learning platforms is an asset
- Excellent editorial, and proofreading skills
- Highly developed organizational and problem-solving skills
- Excellent communication (oral and written) and interpersonal skills, experience taking minutes
- Strong accuracy and attention to detail
- High level of tact and discretion; must be able to maintain absolute confidentiality
- Knowledge of the University of Alberta and University of Alberta Hospital policies and procedures is an asset
- Able to work independently in a team environment
