Working in an open and supportive environment, to deliver outstanding results.Purpose of the role:Responsible for direct line management of PA’s/ TA’s, evaluation of challenges, proactive decision making and implementation of efficient working practices including challenging limitations and championing change.Ensure that efficient and proactive PA and administrative support is provided to the teams at all times.The team may consist of staff from more than one business unit and numbers and content of the group(s) may change from time to time to reflect the current structure of the Firm.Candidate OverviewWe are looking for candidates who ideally hold the following skills and experience:

  • Managing distribution of workloads within the team(s), including managing any re-allocations of PA/TAs, and sourcing capacity from the local and national PA/TA team
  • Managing utilisation of the Exigent transcription service, including liaising with the service supervisors in relation to any problems or issues; conducting regular spot checks on quality and turnaround times, ensuring feedback is relayed
  • Managing utilisation of the Document Production service, including liaising with the DP Team Coordinator in relation to any problems or issues
  • Maintaining and managing the overtime process for the team, and ensure that overtime is correctly authorised
  • Managing regular meetings with minutes and actions for circulation
  • Liaising with partners, key business managers and other PA Services Managers, building strong relationships to ensure full and proactive business support is provided
  • Team mentoring on an individual and team basis
  • Managing all performance reviews consistently, leading meetings, ensuring development plans/training needs are identified following up where needed
  • Managing and monitoring holiday and sickness records for the team
  • Undertake return to work interviews
  • Manage the support staff recruitment process, including establishing genuine requirement for recruitment, drafting robust business cases and liaising with HR and the Recruitment team
  • Leading the interview process and acting as an advocate of the Firm
  • Proven stakeholder management
  • Administrative support experience
