We are expert in a wide range of industries, including Life Sciences and healthcare, retail and consumer, financial services, industrials, energy and transportation.As a member of the HR and Payroll team, the Payroll and HR coordinator will provide administrative support for payroll and personnel management. This individual will be the main point of contact for all operational topics related to payroll and people administration for the Paris office (120 employees) and the Madrid office (25 employees). This is a full-time permanent position (CDI) based in Paris 8.Payroll Management:
- Managing an externalised payroll system (ADP) and monitoring social data.
- Processing and verifying variable payroll elements (absences, transport reimbursements, bonuses, overtime, profit-sharing bonuses, meal vouchers, etc.).
- Preparing and verifying final settlements for departing employees.
- Calculating severance pay and mutual agreement terminations.
- Providing support and assistance to teams with payroll-related inquiries.
- Liaising with finance/accounting and social organizations.
- Performing payroll reconciliations for the annual closing.
- Tracking monthly DSN payments.
- Validating financial flows and sending them to the Accounting Department.
- Transmitting end-of-month documents to accounting (payroll entries, leave provisions, payroll journals, charge statements).
- Ensuring data consistency in HR and Payroll systems.
HR Administration:
- Handling administrative procedures related to hiring (DPAE, creating personnel files, monitoring work permits) and employee departures.
- Managing health insurance (contracts, affiliations, modifications, terminations).
- Tracking medical check-ups.
- Managing meal voucher orders.
- Recording and monitoring leave, RTT (reduction in working hours), absences (via SAP and ADP systems).
- Responding to employees’ administrative queries.
- Participating in the implementation of a new HRIS (Workday).
- Launching and following up on end-of-project evaluations/feedback.
- Drafting various documents (certificates, probation period renewals, etc.).
Desired Profile:
- Holds a Batchelor’s or master’s degree (Bac +3/ +5) specializing in Payroll, Personnel Administration, or HR.
- At least 3 years of professional experience in a similar role with a strong interest in payroll.
- Proficient with office tools, particularly Excel and Word, and experienced with ADP software.
- Knowledge of the Syntec Collective Agreement is a plus.
- Recognised for precision, technical payroll skills, organizational ability, versatility, and teamwork in an international context.
- Regular use of English: B2 level minimum required (frequent interaction with the Payroll Manager based in London).
- Spanish proficiency is a plus!
