As one of our first 60 employees, you’ll have a say in defining our culture and you’ll have opportunities for progression and learning.About the roleWe are seeking a dynamic and detail-oriented People Specialist who will also serve as an Executive Assistant to our senior leadership team and an Office Manager. This multifaceted role requires a proactive individual capable of managing human resources, operational efficiencies, executive support, and office management to ensure our team operates smoothly and efficiently. Additionally, you will play a key role in fostering a positive and vibrant company culture, making our workplace a fun, collaborative and engaging environment for everyone.Key Responsibilities:

  • People Support:
  • Keep our employee records spotless and up-to-date.
  • Welcome new hires and give them a fantastic onboarding experience.
  • Coordinate awesome training and development programs.
  • Build out and evolve people policies.
  • Help make Penfold a great place to work! Bring the party to our employee engagement initiatives and help plan epic company events.
  • Be the go-to person for recruitment fun! Post job ads, schedule interviews, and keep candidates in the loop.
  • Executive Assistant:
  • Be the right-hand support to our senior leadership team, handling core administrative tasks and keeping meetings running like clockwork.
  • Become our travel guru, planning trips and managing expense reports.
  • Juggle calendars, schedule meetings, and coordinate appointments.
  • Create agendas, materials, and minutes for meetings, making sure everyone stays on the same page.
  • Sprinkle your creative magic on documents, reports, and presentations.
  • Office Management:
  • Be the maestro of daily office operations, ensuring everything runs smoothly and efficiently in both our UK and Estonia offices.
  • Keep our UK office stocked and equipped, managing supplies and ensuring everything works like a charm.
  • Coordinate maintenance and repair activities, keeping the office in top shape.
  • Plan and organise office events and meetings, handling catering and logistics with style.

About you

  • Some experience as an executive assistant, HR assistant, or similar role – bonus points if you’ve got both!
  • Top-notch organisational and time-management skills.
  • Amazing communication and interpersonal abilities.
  • A trustworthy confidant who handles sensitive info with care.
  • Sharp attention to detail and a knack for accuracy.
  • Multitasking superhero who can prioritise like a champ.
