Job Title: Personal Assistant to CEOReporting To: Lead Executive AssistantLocation: Bristol, full time office basedSalary: Up to £45,000 depending on skills and experienceReporting to the Lead EA, the Personal Assistant to the CEO an exciting and dynamic role for an experienced and highly organised Personal Assistant looking to support a high-profile CEO in a fast-paced, influential environment.Reporting directly to the Lead Executive Assistant, you will be an essential part of the CEO’s support team, ensuring that every aspect of their professional and personal commitments is seamlessly managed. You’ll have a front-row seat to the inner workings of a leading organization, playing a key role in enabling the CEO’s productivity and focus.The ideal candidate will be a natural self-starter, capable of managing our many often and urgent asks, and adapting to the dynamic needs of the CEO to provide seamless support. This candidate is also highly precise, someone who thrives making sense of and keeping on top of every detail. Finally, this candidate is a natural logistician and planner.This is more than an administrative position; it’s a role for a proactive, adaptable, and resourceful individual who is passionate about supporting at the highest level and is looking to further develop their experience in executive support.We’ll welcome your ideas & input and support your development, In addition, this is an incredible opportunity to help further the transition to renewable energy.Objectives & Responsibilities:Beam is an exciting and dynamic environment meaning these are likely to change as we grow. Upon joining your objectives and responsibilities will include:

  • Work with the Lead EA to manage the CEO’s business and private diaries, scheduling meetings, appointments, and events while ensuring efficient time management.
  • Arrange travel and accommodation, building complex travel itineraries and provide updates as required on travel plans and changes
  • Manage the CEO’s expenses, submitting receipts and approvals to the Finance team in a timely manner
  • Manage CEO guest access, from liaising with facilities for building access to guest greeting to arranging catering as needed
  • Occasional support with urgent personal items or family commitments (e.g. invitations to events or personal errands)
  • Help the Lead EA screen and prioritise emails for the CEO’s review as needed
  • Liaise with legal support, assisting with NDA preparation and organising correct signing and filing
  • Assist the Lead EA with actioning decisions, coordinating follow-ups, and executing tasks that support the strategic objectives of the CEO’s office
  • Provide backup support for critical projects or tasks when needed, ensuring continuity in the CEO’s support structure
  • Support the Lead EA with other administrative tasks as needed, including event coordination

  • 3+ years previous experience as a Personal Assistant or similar role at C-Suite or similarly senior level
  • Strong organisational and time-management skills, with the ability to prioritise tasks effectively and meet deadlines
  • Flexible and adaptable, with an understanding of the demands of supporting a busy Executive
  • Excellent written and verbal communication skills
  • High level of discretion, confidentiality, and loyalty
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Project and action management skills
  • Strong stakeholder management, from communicating with other executives, liaising with fellow employees, and collaborating with the rest of the business support team (EAs and Office Assistants)
