Metrolinx is an agency of the Government of Ontario.At Metrolinx, equity, diversity and inclusion are essential to living our values of serving with passion, thinking forward and playing as a team.This role plays a key role in the day-to-day administration and management of Metrolinx’s real estate portfolio, with a particular focus on the effective onboarding of new property contracts and continued utilization of the ProLinx system (Oracle Primavera Unifier).What will I be doing?
- Liaises regularly with stakeholders such as Property Acquisitions, Development, and Legal Services, and leads onboarding of new property contracts into system post-transaction.
- Understanding and ability to interpret and extract key terms related to real estate contracts, including Agreements of Purchase and Sale, Licences, Leases and Easements.
- Manages accounts payable functions related to Real Estate Management, including processing payments for utility bills, property taxes, and commercial lease rents (basic rent, additional rent) in accordance with contractual obligations and financial controls.
- Ensures timely and accurate payment of property-related expenses for both owned and leased assets, coordinating with landlords, municipal tax authorities, and utility providers as required.
- Reviews, reconciles, and processes property tax invoices, including validating landlord-submitted tax bills and ensuring compliance with lease terms.
- Collaborates with project teams, the Corporate Controller, Embedded Finance, and Accounts Payable to ensure proper financial oversight and reporting of real estate-related expenditures.
- Monitors and maintains financial records for real estate transactions, ensuring data integrity and compliance with internal policies and external regulatory requirements.
- Acts as a key liaison between Real Estate Management and Accounts Payable, ensuring alignment on payment schedules, financial reconciliations, and issue resolution.
- Offers input and provides analysis to support continuous improvement of business processes and procedures related to Real Estate Management’s evolving requirements.
- Works collaboratively with other members of the Property Administration team in managing lease administration.
- Provides accurate, prompt, appropriate, and professional responses to internal stakeholders.
- Reviews financial and scheduling commitments for compliance with policy and real estate contracts.
- Works collaboratively with other members of the Property Administration team in managing lease administration and the oversight of Metrolinx’s outsourced property management service provider.
- Is accountable for own personal workload but does not guide others in their day-to day activities.
- Other duties as assigned.
What Skills and Qualifications Do I Need?
- Completion of a diploma in Business Administration, Real Estate, Accounting or related field – or a combination of education, training and experience deemed equivalent
- Demonstrated experience with Oracle, SAP, Yardi, or other enterprise portfolio management/resource planning software, with a real estate management context preferred.
- An understanding of the processes of real property leasing, acquisition, and disposition, particularly in a public sector context.
- Planning, organizing, and coordination skills to plan, prioritize, and organize work assignments to meet deadlines and achieve assigned objectives.
- Experience with computer applications (e.g. MS Office Suite (Outlook, Word, Excel, PowerPoint, etc.), databases, timekeeping systems, and other application software.
- Interpersonal, customer service, and oral/written communication skills to respond to or direct enquiries, interact with and provide support to all staff levels, and to generate a variety of correspondence, reports and documents.
