Catering to a distinct population, Continuing Education students require tailored support. The program advisor serves as an expert in ensuring each student enjoys an exceptional experience aligned with UA’s Student Experience Action Plan (SEAP) principle: Student Experience Vision – fostering a student-centred community through active listening, learning, and action.PositionThe Program Advisor plays a vital part in managing student relationships, program communications, and instructor connections, guaranteeing consistent high-quality service for Continuing Education students. Within a dynamic, fast-paced, and competitive learning environment, the Program Advisor must exhibit leadership and expertise to uphold OLCE’s commitment to a student-centered community.Responsibilities include facilitating communication between students and instructors, providing guidance on program information and pathways, addressing student requests, and maintaining accurate student records.This position demands prompt, efficient, and professional handling of multiple information requests concurrently, along with effective task prioritization and meeting stringent deadlines.Duties

  • Student Relationship Management
  • Oversees the entire journey of a student, from initial contact until successful program completion by providing personalized guidance through a combination of email, over-the-phone communication, and in-person meetings as required. Ensuring students’ unique work and personal schedules are considered when advising on available courses and program sequences. Handling and resolving any complex issues to ensure student success and satisfaction.
  • Supports equity, diversity, and inclusivity by providing service that addresses barriers to inclusion, access, and success (especially for historically excluded groups). This includes being knowledgeable about issues students face and the resources available to support successful participation.
  • Facilitates admissions, credit transfers, exemptions, audit requests, and any escalated student requests.
  • Meticulously manages student records ensuring confidentiality (i.e. assignments, grades, and appeals) in compliance with regulations such as FOIPP.
  • Manages student communications during course changes/cancellations, offering scheduling options and ensuring each student is moved accordingly.
  • Supports continuing education students from other Faculties, campus partners, corporate partners, and associations as required.
  • Resolves issues within the scope of their duties and escalates concerns when institutional reputation is at risk or when academic direction is required.
  • Program Management
  • Maintains accurate records for programs, courses, materials, and assignments. Updates course schedule information in data management systems and oversees the ordering and timely delivery of course textbooks, materials, and case studies for course start dates.
  • Monitors course enrollments and recommends adjustments to course sections based on demand, timelines, and waitlists.
  • Ensures course materials adhere to university copyright regulations, obtaining proper clearance for protected content.
  • Manages student communications throughout the course lifecycle by posting announcements on the Learning Management System regarding program completion, term registrations, and other pertinent information.
  • Continual Process Improvement
  • Provides consultative assistance to University faculties and departments relevant to continuing education group enrollments.
  • Analyzes and flags trends in student inquiries, program enrollment patterns, student scheduling conflicts etc. Runs queries and inputs data as necessary into enrollment dashboards or reports.
  • Identifies means to improve work processes and efficiency, including leveraging the unit’s information management tools, Student Information Systems, and LMS to achieve objectives.
  • Provides institutional perspectives on processes or policies that may create bottlenecks or inconsistencies in a student’s progress. Regularly evaluate unit processes with a broader lens and view to improve Continuing Education student equity and experience across the institution.
  • Manages governance documents to facilitate a seamless progression through the governance process.
  • Instructor Relationship Management
  • Act as a contact and resource person for the instructor.
  • Notify students by email and follow up (if necessary) by telephone of courses cancelled due to low enrolment or classes cancelled due to instructor emergencies.
  • Guide instructors regarding the LMS (if required).

Qualifications

  • The completion of an undergraduate degree.
  • Proficiency in Windows Microsoft Office, Google Suite, Adobe Acrobat Pro, and Zoom.
  • Five years of working experience, preferably in a post-secondary educational setting that includes student advising.
  • Working knowledge with copyright licensing requirements including obtaining clearance, compliance review, and the processing of reading collections for courses, and permissions of use for other types of media.
  • Ability to exercise independent judgment and the ability to handle difficult situations with diplomacy and sensitivity.
  • Ability to adapt to program-specific needs and duties.
  • Initiative, resourcefulness, and willingness to accept responsibility; ability to work well under pressure and meet deadlines.
  • Excellent verbal and written communication skills and the ability to work well in a customer service-oriented environment with multiple demands made on time and resources.
  • Interpersonal, organizational, and time management skills are required with demonstrated accuracy and attention to detail.
  • Knowledge of University policies and procedures, especially in the areas that relate to student engagement and registration; experience with student administration system technology preferred.

  • Fluency in French is an asset.
