We are currently seeking within Paris Operating Center (POC) a Proposal assistants Manager to manage our team of Proposal Assistants, who are supporting the preparation of our tendering activities. This position reports to the POC Head of Tendering & Proposals.This position is a good fit for candidates looking for responsibilities within POC tendering activities and who wish to widen their spectrum of skills after past experiences on project execution. Such a role allows to interface with a large spectrum of stakeholders within T.EN organization, with some of our Clients, in a multi-technology and multicultural environment.About the JobThe objectives as Proposals Assistants Manager are to manage & coordinate the team of Proposals Assistants and organize the secretarial and administrative activities for supporting the Proposals Preparation. It translates in supporting and assisting Proposal Managers in secretarial/logistic tasks and bid package preparation, while contributing to the Tendering and Proposals digitalization program.The position allows to oversee a team of 4 to 5 Proposal assistants who participate in developing a wide variety of proposals, in all the segments where our company invests (conventional oil & gas, decarbonized energy, non-carbon energy).Job descriptionYour main responsibilities will be to (but not limited to) :Primary Activities :

  • Ensures administrative and logistics support to Proposals Directors, Managers and Engineers,
  • Coordinates mobilization of proposals assistants on the various proposals to be prepared:
  • Manages the resources and workload of the Proposals Assistants, with proper resource mobilization on the Proposals, leave management
  • In liaise with the Paris Operating Center Head of Tendering & Proposals as well as the Head of Services Proposals, maintains the adequate resources of the team by selecting / hiring / mobilizing additional contracted – external personnel in the Proposal assistants team,
  • Ensures quality of work / activities performed by of the Proposals Assistants (e.g. typing / formatting activities, archiving, etc …) in the course of Proposal preparation and after
  • Participates in the bids preparation as assistant whenever required,
  • Coordinates Tendering Assistant & Gate Coordinator activities,
  • Liaises with IT Department and Archives Department for regular archiving of past Proposals, for both soft and hard versions.
  • Coordinates with Project Assistants’ Lead in case of multiple Proposals with a dedicated task force.
  • Contributes to the deployment and use of Xait digital proposal editing tool over Paris Operating Center, Paris Cluster and over other T.EN Operating Centers. Performs Xait Training for Department newcomers.
  • Support the Head of Tendering & Proposals and dedicated Cost Controller in the management of the Proposal codes and budget

Regarding his/her team, the Proposal assistant Manager

  • Manages staff (schedules, leave,…) reporting to her/him,
  • Ensures an efficient allocation of appropriate tasks according people skills and experience,
  • Detects and develops talent by ensuring appropriate means & action plans,
  • Coaches and develops team autonomy and competencies, and ensures continuity/sustainability of the team with anticipation of his/her adequate succession,
  • Leads objectives and performance appraisal reviews and career reviews for his/her team, as well as identify training requirements
  • Maintains full Employee Engagement / motivation and mobilizes the team towards a common objective,
  • Takes care of employee well-being,

About YouWe’d love to hear from you if your profile meets the following essential requirements:

  • A minimum of 12-15 years industry experience (including tendering)
  • Past experience of team direct management is a plus
  • Proficiency in English and mastery of advanced MS Office
  • Recognized interpersonal and communication skills
  • Follow through on commitments and meet deadlines, being available at time of proposal preparation finalization
  • Ability to multi-task and manage multiple priorities in a fast-paced work environment

The position will expect from the candidate to:

  • Have a good management of stress and time, as the position requires to follow multiple tender opportunities simultaneously with large variety of tasks requirements
  • Show good management skills
  • Demonstrate full autonomy in day-to-day work organization,
  • Demonstrate resilience, as despite the level of efforts conceded, all proposals do not end up in a success
