We’re Hiring for a Reconciling Administrator in Calgary, AB. This role is hybrid – in-office with 20% flexibility to work from home.We are looking for a passionate and detail-oriented individual to join our growing company as a Reconciling Administrator. Our values-Agile, Inventive, Dependable, Audacious, and Collaborative-guide everything we do, and we take pride in our inclusive and energetic team culture.As a Reconciling Administrator, you’ll play a key role in the LodgeLink Settlement Team by ensuring accuracy and efficiency in the reconciliation process. Your primary responsibilities will include reviewing and verifying data related to customer bookings, hotel folios, and associated virtual credit card charges to ensure all records align. You will collaborate closely with the AP & Folio Teams to address missing folios and exceptions, and with the Customer Success Team to resolve billing-related customer preferences and setup requirements. You will also focus on identifying opportunities for process improvements, leveraging your analytical mindset and attention to detail.This role requires strong analytical and problem-solving skills to efficiently address discrepancies, as well as excellent interpersonal and communication skills to foster collaboration across teams. Your ability to work with precision and maintain accuracy will ensure reconciliations are completed seamlessly and passed on to the Billing Team for timely invoicing.Duties & Responsibilities:
- Reconcile incoming folios to VCC (virtual credit card) Client Bookings in a 3 way match (Folio to Booking to VCC charge)
- Reconcile the Virtual credit cards assigned to customers and escalate any variances through reconcile exception according to authority matrix
- Review bookings without folios to put forward a recommendation to force reconcile if possible or escalate to folio team for support
- Coordinate with Supply & Settlement Auditor on rate, guest or days issues not matching bookings to resolve, obtain refunds where required.
- Work closely with the Customer Success team to ensure accuracy in Paying Organization, Payment IDs and guest names related to billing requirements.
- Create customer chargesheets in line with customer SLAs, obtain sign offs where needed.
- Working with downstream invoicing & collections teams on any corrections as required.
- Support with training and onboarding new team members as needed.
- Support other accounting functions as required.
- Other duties and projects as assigned.
Qualifications:
- Background in accounting and bookkeeping would be considered an asset.
- Candidates with hotel administration or night auditor experience an asset, travel industry experience is also considered an asset.
- Experience with Virtual credit cards will be considered an asset.
- Strong analytical, problem solving, attention to detail, adaptability, accountability skills.
- Intermediate knowledge of Excel are required (Pivot Tables, VLOOKUP’s etc).
- Self-starter and comfortable working in a fast-paced dynamic environment.
- Demonstrated ability to work independently and prioritize tasks.
- Must have excellent communication, strong interpersonal and problem-solving skills, with the ability to build friendly and collaborative working relationships with clients and colleagues.
- Must be fluent in English both oral and written.
