IMPORTANT: Effective immediately until the return of the incumbent.Deadline to apply: September 11, 2024JOB SUMMARY UNDER THE DIRECT SUPERVISION OF THE COORDINATOR OF HUMAN RESOURCES, TO PERFORM VARIOUS ADMINISTRATIVE AND TECHNICAL DUTIES FOR HUMAN RESOURCES SERVICES.DUTIES AND RESPONSIBILITIESSelection and support of employees

  • Revise job descriptions in collaboration with departments/services and ensure conformity with Plan de classification
  • Prepare job postings and ensure accuracy of information posted on the ATS
  • Provide information to Bureau de Placement as required
  • Carry out reference checks for all Support and Professional new hires
  • Collect and evaluate scholarity and experience documents for the classification of non-teaching staff
  • Send activation/deactivation notice to all relevant departments via GEREMI
  • Liaise with departments/services for all matters concerning the hiring of support employees
  • Acts as HR representative on selection committees for the hiring of support employees
  • Advise and enforce hiring guidelines

H.R. Administration. – Non-Teaching Professional and Support Employees and Management

  • Administer contracts and payroll processing for all non-teaching employee groups; duties include but are not limited to:

o Bi-weekly pay exceptions (ie: pay rate adjustments, personnel movement, and progressive returns)
o Annual increases
o Progression increases
o Offers of Employment/Contracts
o Salary Assessment
o Reclassify staff according to new educational credentials as needed
o Open employee files and ensure all required documents are filed accordinglyHR Reporting

  • Correct SPOC entry errors after first transmission and process adjustments as needed for non-teaching staff (prepare dossier for retransmission)
  • Update the Plan d’Effectifs as per Budget and Staffing decisions
  • Prepare Plan d’Effectifs Report for JACPA per the professional collective agreement by the prescribed deadline (June 1)
  • Update the SRIC HR/Payroll system and advise payroll of changes
  • Prepare and distribute seniority and status lists for Professional and Support employees in accordance with guidelines in the collective agreements
  • Prepare Part-time Employee Report to determine statutory holidays
  • Perform any other related tasks as may be assigned

EDUCATION:

  • Undergraduate degree in a relevant discipline, preferably in Industrial Relations, Labour Relations and or Human Resources Management
  • Possess a minimum of three (3) years of relevant experience in a unionized environment

SPECIFIC REQUIREMENTS

  • Has strong interpersonal skills and is autonomous in dealing with issues and or situations of conflict
  • Must be able to work outside of regular work hours as needed
  • Must be able to work with a minimum of supervision
  • Ability to deal pleasantly and effectively with people
  • Ability to produce work under pressure
  • Problem solving and analytical skills
  • Knowledge of post-secondary education would be an asset
  • Knowledge of Microsoft Office (Word, Excel, PowerPoint)
  • Excellent oral and written communication skills in both English and French

Testing may be required to demonstrate knowledge of:
