Description :Shop CoordinatorLooking for a challenging yet rewarding career? Look no further as Southland Transportation is looking for a Shop Coordinator based out of their Humboldt Shop. This role reports directly to the Operations Manager and is responsible for all administrative duties and functions of an operational Shop environment. The Shop Coordinator is a full-time role and has a Monday – Friday work schedule.Primary Responsibilities:

  • Process timecards and confirm accuracy of time logged in Web Fleet Assist (WFA) for all Maintenance Personnel
  • Maintain vehicle files by keeping track of Preventative Maintenance Inspections and Commercial Vehicle Inspection Program Inspections according to STL policy and government legislation
  • Adjust schedules and monitor preventative maintenance schedules for any discrepancies to ensure all services are completed in the appropriate timeframe
  • Monitor work orders/Driver Vehicle Condition Reports entered in WFA and reviewing completed work orders for appropriate and accurate information
  • Generate purchase orders and generate work order for external vendor services and receive invoices for processing
  • Order parts and maintain inventory reports monthly
  • Maintain warranty claims
  • Assist mechanics in small day to day tasks; filling shop fluids and labeling as per WHMIS
  • Run month end reports; including labour summaries and mileage reports
  • Aid in new hire orientation, as needed, including Web Fleet Assist computer training

Desired Qualifications:

  • Completion of a one or two-year college or other program for administrative assistants or 2-5 years of previous administrative experience would be an asset
  • Strong verbal and written communication skills
  • Strong proficiency in Microsoft Office, specifically Access and Excel at an Intermediate level an asset
  • Previous knowledge of Web Fleet Assist (WFA) considered an asset
  • High attention to detail and confidentiality and must be fully aware of the sensitivity of the position and act upon it accordingly
  • High level of initiative and an ability to work under minimal supervision or direction
  • Ability to multi-task in a multi-office/location organization and problem-solve while maintaining flexibility in a fast paced and deadline based environment
  • Experience working in a Shop setting considered an asset
