Job DescriptionRole SummaryThe Sr. Associate, Administrative Assistant provides proactive, high-quality, flexible, and reliable administrative support to the Associate Vice President, Medical Affairs – Immunology. This role assists with administrative functions relating to organization and communication across the team and ensures the efficient operation of the office and its team members.In addition to supporting the Immunology Medical Affairs team, the role supports various division-related committees and meetings that enhance the division and further its goals.Responsibilities and Primary ActivitiesManages complex calendars, prepares correspondence and reports, and reliably handles confidential and politically sensitive issuesOften serves as an initial point of contact for and liaison to outside visitors, clients, and vendorsCoordinates and performs multiple tasks while understanding the project principles and technical skills related to own work assignmentsPrioritizes work activities with little supervisionSupports the use of Team SitesSchedules interviewsCoordinate hiring and on-boarding of new hires. Also handle resignations/off-boardingSAP experience processing purchase orders, payment requests, and vendor add forms, as well as ability to run reports within SAPConcur experience for processing expense reportsSupports the use of Team SitesCommunicates and interacts effectively with Our Company executives and internal/external clients both onsite and remotely to maintain workflowCoordinates special projects within the division or areaConsistently demonstrates Company Leadership behaviors; able to deal with difficult situations and people diplomatically and effectivelyExperience scheduling complex travel arrangements, including multi-leg domestic and international travelDemonstrated experience with visa and passport processingAbility to handle and prioritize many simultaneous assignmentsExperience with event planning and coordinationExtraordinary attention to detailOutstanding communication and people skillsExperience with financial and budget tasksProactively takes initiativeRequired Education, Qualifications, Skills, & Experience
EducationRequired: HS Diploma.Preferred: Advanced education or certifications (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification).Minimum8+ years of administrative assistant experience.3+ years executive administrative experience supporting senior executives (Senior Director, Executive Director, Vice President, or above).Advanced ability using Microsoft Office Suite (Outlook, Word, Excel, Power Point) and ability to operate other peripheral devices.SAP experience processing expense reports, purchase orders, payment requests, and vendor add forms, as well as ability to run reports within SAP.Advanced analytical ability, independent judgment, creativity, and problem-solving capabilities.Ability to handle and prioritize a large number of simultaneous assignments.Extraordinary attention to detail.Strong communication and people skills.Collaborative, adaptive, & flexible.PreferredEvent Planning/Coordination experience.Budget/Finance Management experience.#MSJRCurrent Employees applyCurrent Contingent Workers applyUS and Puerto Rico Residents Only:Our company is committed to inclusion, ensuring that candidates can engage in a hiring process that exhibits their true capabilities.
