Provide the integration of McGill’s values, standards, and goals with respect to student life and learning into University policies, operations and procedures. Ease students’ integration into University life, support students’ learning and guide them towards a rewarding student life experience by offering a broad range of services in a supportive environment. Provide student admissions and enrolment services for undergraduate, graduate, certificates and diploma programs. Participate in student recruitment fairs, student exchange programs, convocation and graduation activities. Oversee government reporting and compliance. Offer a variety of student services including career planning, campus life and engagement, scholarships and student aid, counselling and tutorial, health and mental health, international student services, immigration, services for students with disabilities, religious life, and other programs. Offer student affairs services including advising, student records, registration and exam and invigilation activities. Offer programs related to athletics and recreation.Primary Responsibilities:

  • Participate in the development and implementation of policies and administrative procedures supporting the strategic direction of the Office of Collaborative Studies, more specifically to support the new Global Engineering program, a joint program with CentraleSupélec in France
  • Establish and foster an effective working relationship with CentraleSupélec by identifying needs and providing support in the delivery of services to students and in the organization of the program
  • Provide expertise, advice, and support to the Global Engineering Program Director regarding academic issues and administrative processes
  • Manage student affairs for the unit including Departmental Academic Committee meetings, e-calendar productions, admissions, graduation, awards, etc.
  • Support the Program Director, Enrolment Services and CentraleSupélec in all areas of student affairs and related to admissions
  • Build team and supervise clerical student affairs position (to be determined as per growth of the unit). Cooperate with the McGill Engineering Student Centre, interacting and developing the program further and providing functional supervision to the Student Affairs Administrator also supporting Global Engineering. Provide training, motivation, and encouragement for professional development, and oversee employees’ work. Provide advice and help to address issues in the unit.
  • Organize and participate in information sessions related to recruitment and admissions
  • Oversee the scheduling and logistics of events, and interviews, as required, develop procedures, and provide program information, answer questions, and solve problems as issues arise
  • Assist in the preparation of status reports and statements. Compile statistics and data for inclusion in University, government, and funding agency reports
  • Provide administrative support for the Faculty-wide courses (FACC), including the hiring of TAs, invigilators, and academic positions
  • Organize steering relevant committee meetings; take minutes, and follow-up on business and action items arising from meetings
  • Develop, track, manage, and report on financial resources. Make recommendations and handle all financial activities related to of the unit
  • Assist in the accreditation process in the Faculty and provide support to accreditation visits
  • Support other activities in the Office for Collaborative Studies (ELATE/teaching & learning, other academic programs), as required.

Minerva (SIS) and Workday (HRIS), an assetKnowledge of university administrative policies and experience working in a multidisciplinary setting is an assetExperience organizing eventsBilingual in French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level #4 on a scale of 0-4.
