Applications received after the “closing date for internal CUPE applicants” will be considered alongside external applicants.Full/Part TimeFull TimeSupport TypeOngoingAnticipated Start Date16/12/2024Position End Date (If Applicable)The Hours of work are subject to change depending upon departmental requirementsScheduleThe hours of work will be Monday to Friday, 7 hours a day, 8:30 am to 4:30 pmSchedule DescriptionDUTIESReporting to the Associate Registrar, Systems and Reporting the Student Systems Operations Coordinator ensures the daily operations of the student systems and reporting tools are configured and functional for the end users in TRU’s Student Services, including troubleshooting and training of end users. Additionally, this position is required to lead teams to ensure upgrades, enhancements, new technologies, and modifications to existing functions meet the specified functional requirements at TRU.MAJOR DUTIES & RESPONSIBILITIES * Acts as lead on assigned projects.

  • Manages and maintains the computerized student records through regular monitoring and analysis in order to ensure that data integrity is maintained.
  • With assistance from the Scheduling Officers and Student Systems Operations Specialist(s) plans, coordinates, builds and monitors Open Learning Division, BC University Consortium-specific (UBC, UVIC & SFU), and other flexible registration course set-ups (including OLFM assignment and pay details); closure; grading, including assignments as well as final grading; web output to WebRegistration systems, as well as interfaces with Blackboard and other course shells; process workflows for approvals and wait-listing; course materials, including collaborating on material management and other system interfaces; verifying accurate data extracted to and used in other databases, such as the provincial data warehouse work and the PEN (Provincial Education Number) extractions and uploads to ministry databases; and fees; as well as other system interfaces and related tasks.
  • With assistance from the Student Systems Operations Specialist(s), is responsible for ensuring the functional aspects of student related systems are set-up in compliance with TRU policies and procedures, and are executing properly. Troubleshoots related issues through a variety of means including providing training, fixing, or escalating the issue to other team members, other departments within the University, or external agencies/consultants. Represent TRU on various working groups and committees within the province.
  • Provides expertise in developing, preparing, maintaining and analyzing computerized management reports under the direction of the Associate Registrar, Systems and Reporting. Works closely with Integrated Planning and Effectiveness Department analysts and managers. This is critical work that affects FTE reporting and funding, as well as uniquely informs the critical performance metrics, forecasting and planning work that the TRU bases its business decisions upon.
  • Researches and prepares analysis on computer system issues and establishes new procedures and programs in consultation with team members and IT Services staff. Collaborates with other TRU stakeholders on developing standards and procedures by participating in institutional committees.
  • Responsible for functional testing and test plan development for all TRU Student Services technologies.
  • Liaises with other TRU managers responsible for updating of the student records in order to ensure the data integrity of the computerized data.
  • Provides training for related student information computer and software systems. Develops and documents systems and procedures by detailing hardware and software specifications.

Associate Registrar, Systems and ReportingQUALIFICATIONSEDUCATION:

  • Bachelor’s degree in Computer Science or Information Technology

EXPERIENCE:

  • Four years required experience including at least:
  • Two years’ experience with relational databases including communicating with relational databases using SQL
  • One year experience successfully leading project team and/or directly supervising others
  • Two years business environment experience including project management, process analysis, redesign and implementation

SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB

  • Ability to deal courteously and tactfully when dealing with others, even when faced with challenges and obstacles
  • Ability to explain complex process and procedures to non-technical end-user staff and faculty both verbally and in writing, and to document work for change management and end user training
  • Excellent organizational skills with proven ability prioritizing own workload while working under pressure to attend to fine details, produce accurate work and meet deadlines
  • Ability to use policy and departmental procedures to problem-solve day-to-day issues
  • Proficiency with office software skills spreadsheet, communications, reporting and word processing, as well as using SQL and HTML or JavaScript
  • Ability to work both collaboratively with teams and independently
  • Project management experience
