Whether you’ve got deep experience in commercial real estate, skilled trades or technology, or you’re looking to apply your relevant experience to a new industry, join our team as we help shape a brighter way forward.Supplier AnalystTeam OverviewWorking within our UK Supplier Engagement Team (SET) you will be part of a diverse and integral team that supports and delivers a professional customer focused experience for our suppliers / service partners enabling the continuity of service for Occupiers and Clients. The UK Supplier Engagement Team sits within our core Financial Operations team within Client Financial Management (CFM) department providing operational, specialist activity and consultancy support our internal and external stakeholders. To manage supplier debt and minimise potential risks, to provide a first-class customer service to all our stakeholders, to accurately and promptly resolve any supply chain hold ups (processing, queries & payments) and to provide insight, assistance and resolution to aged debt, along with specialised projects and tasks.The UK SET will also be the key holders for all service delivery, compliance, KPI’s, reporting, legal, supplier engagement, client engagement, post handling, client/property transitions and any other ad-hoc activities.Your responsibilities will involve:
- To ensure all requests for new supplier set up or amendment are verified using the JLL workflow system (all clients)
- To ensure all new suppliers receive confirmation of JLL banking details during set up
- To check details added to the supplier record via JBS Data are correct prior to approval
- Any incorrections to be raised with JBS Data directly for resolution
- To ensure when record is live in the ‘system’ to check all details have accurately imported / loaded, any errors are to be raised and rectified
- To ensure suppliers are set up on the correct priority levels for payment terms
- To minimise duplicate suppliers being set up in the system via the supplier set up process
- To investigate any duplicate suppliers with the aim to reduce where necessary
- To ensure any multiple suppliers have a set of name principles based on the bank account details / department to reduce incorrect use
- To send supplier welcome pack and follow up with supplier on-boarding meeting
- To maintain accuracy of detail within the supplier welcome pack notifying of any changes required
- To monitor / control the request for urgent set ups with risk and compliance
- To assist JBS Data in any issues with supplier archiving queries / privacy policy (issue reporting – sign off)?
- To quality check suppliers already set up for standard / principles consistency
- Contact details (address/emails etc)
- To monitor international supplier set ups
- To assist with adhoc supplier reconciliations
- To complete / escalate any queries raised from suppliers around supplier set and reconciliations
- To actively engage suppliers in proactis and support any training / help required for on-boarding (locked suppliers)
- To actively resolve ROF (return of funds) when an JLL payment is returned due to closed / amended bank account
- To regularly conduct supplier engagement meetings (2 way feedback)
- To resolve the mandate update queries issued via the workflow ticket system
- Assist in any other ad-hoc UKSET task/projects when necessary
- Transitions – new supplier set up – attending calls when required with the UK SET representative
